CARE Indonesia in Jakarta-Head Quarter, is
currently recruiting the following position for its project:
JOB TITLE : PROGRAM OFFICER
DEPARTMENT/PROJECT : PROGRAM
REPORTS TO : PROGRAM DIRECTOR
JOB SUMMARY :
The Program Officer responsibility is to provide support to Program unit in contract management and program start up, implementation and completion.
RESPONSIBILITIES AND TASKS:
Program information
- Prepare and maintain core project files (including contract, proposal, budget, log-frame,schedule and format donor reporting, extension approvals) for Program Design and Quality, PM, PL, and Program Director
- Develop and maintain internal project documents, including monthly reports, donor reports,staffing plan and communications
- Track key dates for project start up, mid term review and close down for each project and collaborate with relevant Program staff on sharing information and discussing action items with other departments
- Track program reporting schedule in coordination with Program Design and Quality Manager and Program Director
- Coordinate with Contract Management Specialist to ensure projects comply to donor regulation
- Ensure all core project filed electronically and undertake role as administrator of intranet,shared drive, etc for Program Department (i.e. ensure regular backups of key documents)
- Consolidate,update and distribute project information (project objectives, indicators, key staff roles, etc)
- Prepare and update Project Matrix monthly
- Prepare contracts for consultants or local partners, ensure that all supporting documents require to finalize partner contract is complete, and track progress and payments
- Conduct internal and external research as requested by Program Design and Quality Manager and Program Director
- Key person for reviewing sub-grant agreement from program unit related to CARE policy and procedures
- C-PIN coordinator to update and compile survey database and questionnaire from each project
Administration
- Arrange appointments, meetings and monitoring schedule for Program unit
- Communication and coordination between Program Quality and program team
- Bridge communication between various units to ensure effective program operation
- Manage Program unit events (workshops, meetings, visits) including Monthly Program Coordination Meeting
- Communication and coordination between program and other unit for outboard arrangement trip
- Prepare and distribute outgoing correspondence
QUALIFICATIONS:
· Bachelor degree from Management, English.
· Minimum 3 years experience in NGO, preferably in the Program Unit.
· Ability to multitask and proactively follow up on issues.
· Attention to detail.
· Ability to communicate in English, both spoken and written.
· Good in writing report.
· Literacy in computer, word processing, spread sheet and simple data base
· Ability to work in team and under pressure.
