The positions needed, as follow:
1. Finance & Administration Officer (code: FAO DBE3 Medan) - 1 post based in Medan
The post holder will lead/supervise financial and administrative support to DBE 3 office, in close coordination with Provincial Coordinator and Operations Manager. Manage finance and administrative functions of DBE office in Medan.
Core Responsibilities & Duties:
Financial Management
1. Ensure that home office and donor financial reporting requirements are fully met in a timely manner
2. Ensure that Save the Children and donor procedures are established and followed with regard to receipts and disbursements, petty cash fund, and equipment and inventory controls
3. Prepare the cash advance requests, payment to suppliers within the agreed payment schedules and commitments
4. Control periodic program spending reports versus budgets, and inform management of actual or potential program over spending
5. Assure a secure and efficient process for handling receipts and payments to employees, suppliers and sub-grantees
6. Ensure the budget coding is correct for every transaction
7. Coordinate with DBE 3 Jakarta to ensure the financial process is correct.
Administrative Management
1. Ensure all DBE 3 staff in location have access to and are familiar with SC IDCO's P&P Manual.
2. Ensure that equipment and supplies are correctly inventoried and that inventory records are up-to-date at all times.
3. Develop and maintain effective and efficient systems for the DBE 3 Medan/Surabaya office.
4. Maintain effective and efficient systems for the DBE Medan/Surabaya office
5. Coordinate with DBE 3 Jakarta to ensure the admin, IT, and HR process are correct.
6. As needed, coordinate with admin, IT, and HR support from SC for DBE 3 office.
7. Provide program support functions to program team in relation with outside visitors, i.e. hotel booking, set up meeting with government, etc.
8. Supervise, support and evaluate performance of Admin Asst, IT Asst, Receptionist and Office Helper (if applicable)
Host Management
1. Ensure all DBE staffs are familiar with the DBE Office Sharing MOU
2. Ensure that equipment and supplies are provided sufficiently for all DBE Projects according to the DBE Office Sharing MOU
3. Develop and maintain effective and efficient systems to ensure that the obligations as a host are well done
4. Coordinate regularly with DBE1 and 2 Office Managers to ensure that the DBE MOU Office Sharing is fully met
Requirements:
* Bachelor Degree in Accounting or equivalent in related field
* 5 years working experience with 3 years experience in related or similar field
* Having experience in supervisory is desired
* Fluency in spoken and written English
* Excellent in Microsoft Office programs
* Ability to work in a team/independently
* Knowledge of USAID rules
* Communication skills
2. Finance Assistant (code: FA DBE3) - 2 post
1 Will be based in Medan and 1 will be based in Surabaya
The Finance Assistant is responsible for the smooth execution of the day to day financial operations of the organization, including disbursement of funds, accurate and timely recording of transactions and implementation of a systematic filing and retrieval system of documents.
Core Responsibilities & Duties:
1. Ensure the availability of appropriate amount in the checking/current account
2. Maintain imprest system of office petty cash and replenish petty cash upon approval.
3. Prepare and submit accurate daily cash position report and keep the supervisor informed about fund balance.
4. Prepare vouchers, check the completeness of supporting documents attached to the voucher as well as the accuracy of computations in each record of transaction
5. Prepare financial documentation for all transactions and facilitate approval
6. Make payment/disbursement of funds two (2) days after receipt of the bill, if applicable.
7. Maintain and update checkbooks.
8. Maintain orderly filing system of financial records for audit purposes
9. Assist in the preparation of the monthly finance report
10. Processing bank transfer and check liquidation.

Based in Medan
The post holder will keep the place of office supplies are in well arranged and keeping clean all office area. She/he will maintain/monitoring the office supplies/stationery and inform the related person when the supplies/stationery are about diminish.
4. Driver (code: Driver DBE3) - 1 post
Based in Surabaya
Within Save the Children Admin framework, to drive vehicles in safe and comfortable manner and maintain vehicles in a clean, mechanically sound condition. Report to Finance & Admin Officer in case of not functioning equipment in the vehicles on daily basis.
Requirements:
* Minimum high school education
* Having a 3 years working experience and 2 years within the similar field of work
* Display positive attitude and honest
* Display good knowledge of traffic regulation and road map of location
* Knowledge of Engine & machine of vehicle is preferable
* Knowledge of English is preferable
* Very good communication and interpersonal skills
