BACKGROUND OF THE POSITION

KARINA
(Caritas Indonesia) is the humanitarian arm of the Bishops’ Conference of Indonesia based in East Jakarta and is officially considered as a member of the Caritas Internationalis confederation. Established in mid-2006, it recently completed its first strategic planning in early 2008. One of the results of the strategic planning is the identification of 2 (two) main divisions: Programs Division and Support Division. KARINA (Caritas Indonesia) acts as a coordinating and facilitating body for all the 37 Dioceses incorporated under the Bishops’ Conference of Indonesia.


DESCRIPTION OF THE DIVISION

The Program Division is comprised of areas: DRR Unit, ER Unit and Capacity Building Unit.

REPORTING TO

The DRR-ER Project Administrative Assistant will report to the DRR-ER Manager.

CONTRACT DURATION

The contract is for 2 (two) year period.

KEY RESPONSIBILITIES

The jobholder will plays a key role in covering all aspects related to the administration management capacity of DRR & ER Unit in order to support the successful implementation of projects.

TASKS/DUTIES

1. Act as DRR & ER unit liaison in organizing and planning DRR & ER travel and program’s work plan and make sure that all financial, administration and its documentation comply with KARINA’s financial standard operational procedures.
2. Prepare and organize DRR & ER meetings/workshops/training. This will include planning, logistic and venue arrangements, administration and meeting/workshop/ training management.
3. Prepare and manage DRR & ER archive system such as project contracts and/or MOU, project narative report document, and project financial document. These will include preparing project administration database, updating and its communicating mechanism periodically to other DRR & ER unit staffs, financial department, communication and networking officer and KARINA’s DRR-ER Manager.
4. Prepare travel documents and other required documents for DRR & ER unit staffs.
5. Update and communicate periodically KARINA’s DRR & ER unit activity schedule.
6. Assist consolidation process of KARINA’s DRR & ER unit’s narrative and financial documents
7. Assist KARINA’s DRR & ER team in preparation of DRR & ER data and information for public relations and/or advocacy purposes.
8. Willing to be assigned during emergency response as required by the Organization.



KNOWLEDGE, SKILLS, EXPERIENCES AND REQUIREMENTS

a. Graduate degree in Social Science, Development or in other related fields
b. Minimum 2 (two) years experience in Administrative Task or Project Administration Task.
c. Fluent in English both oral and written.

j. Fluency in written and oral English in compulsory.
k. Strong communication and presentation skills.
l. Excellent drafting ability and communication skills, both oral and written.
m. Tactful, accurate and excellent analytical thinking.
n. Excellent computer skills especially MS Office.
o. Good memo composition and editing skills.
