POSITION VACANCY

1. LOGISTIC ADMINISTRATOR ASSISTANT (1 position)
Code : RJO/011/LOG/LogAdminAsst/IV/11
Location/base : Yogyakarta
Start date : asap
Duration of contract : until July 31st, 2011


Objective 1 : Support in the Logistics activities of the base
Activities:
- Ensure logistic support to the programme in collaboration with the Log Admin HOB : define the needs, formalize orders, in charge of purchases and folders follow-up
- Responsible in management of the equipment placed at the disposal of the programme (vehicles, radios…)
- Assist in draw up and implement the planning of the number of vehicles needed for the programme
- Prepare logistic reports on stock
- Maintain the documentation of logistics
- Support in the security of the base
- Support in the implementation of Kitlog 3 version

Objective 2 : Support in the Financial activities of the base
Activities :
- Issue advances to the logistics for purchases upon validation from Log Admin HOB
- Check invoices (format, purchase voucher validity) and make payments
- Close the cash account every month (counting, printing)
- Execute payment of monthly salary upon validation from Log Admin HOB

Objective 3 : Check compliance with purchasing procedures :
Activities :
- Comply with purchasing procedures when remitting advances
- Inform the logistics department of purchasing procedures and of data required on the invoices

Objective 4 : Responsible for administrative follow-up of staffs at the base
Activities :
- Ensure completeness of employees’ individual file
- Support in the preparedness of the monthly database and send to Log Admin HOB to be sent to HR Manager in capital
- Be a part in the recruitment process

Objective 5 :Manage domestic employee’s social insurance (Jamsostek) & medical
benefit
Activities :
- Ensure the registration of new employees in coordination with Log Admin HOB
- Prepare and make monthly contribution payments
- Prepare declarations of work accidents and follow the necessary procedures in the event of death or to end a contract
- Ensure contacts with local partner (Jamsostek office)
- Ensure the registration & un registration of the employees & family member to insurance company in coordination with HR manager

Objective 6 : Support in the administrative issues
Activities :
- Prepare letters or documents needed for the program activities
- Take part in the practical organisation of travelling management, etc
- Support in other administrative activities as required

Diploma / Level of studies : Degree in Management; strong background of
logistics, administrative, finance & human resources

Required skills: Computer knowledge – Professionalism – Sense of organisation –
Interpersonal skills – Sense of confidentiality – English
