Key tasks and responsibilities:
Monitor, ensure and process the expatriates working permit (visa, kitas, extension, renewal) for all Federation Delegates and PNS in the Indonesia Delegation by liaising with related unit. It includes giving necessary advice on the process.Liaise with counterparts (PMI, Embassy, Minister of Foreign Affair, State Secretariat RI, Directorate General of Immigration) concerning expatriates working permit regulation, policy and bureaucracy.

Manage database file regarding visa/KITAS tracking system including IFRC and PNSs delegate arrival and departure.Provide Visa/KITAS monthly forecast and process invoices in coordination with Finance Unit.Maintain database and keeping track of IFRC and PNSs Delegates and ensure the complete archiving system, it includes liaison to the AP Zone office / GVA for sending the original required documents to them such as CoC, delegate secondment form, CV, IFRC ID tracking system, Contract, etc) To inform and do necessary arrangement of staff events (staff baby delivery, welcome/farewell party, death, sick, wedding, etc) when required. Organize the briefing, debriefing of delegates, expatriates consultant and expatriates visitors (it includes to liaise with related staff in submitting EOM report, appraisals). Coordinate with related unit in a proper and timely manner. Manage, ensure and process the security access door for both Federation and PNS staff in Jakarta
Responsible for the integrated and non integrated on their documentation (signing the code of conduct, security rules, Delegate secondment form, CV, Federation red book, etc). It includes the delegates projected staff in the calendar and following year to be updated.
Supervise and overlook the elaboration of the accurate, regular and timely narrative report to HR Manager. It includes to provide the organigram, etc. To make monthly cost estimation and send to another HR OfficerTo backstop another HR Officer when the workload dictate
Travel to other operational areas if requiredAny other tasks assigned by HR Manager
Qualification & Experience
Bachelor Degree in administration or any related field2 years relevant HR experienceExperience in Expatriate
working permit policy and bureaucracyExperience of working for the Red Cross/Red Crescent is preferredAbility to maintain good interpersonal relationships and representational skillsExcellent computer skills Excellent communication skills in English and bahasa Indonesia.
