Assistant to ICT Advisor – Programme Assistant for the

Australia-Indonesia Facility for Disaster Reduction





1. Background



AIFDR

The Australia-Indonesia Facility for Disaster Reduction (AIFDR) represents Australia’s largest bilateral commitment to reducing the impact of disasters and is a key part of Australia’s development program in Indonesia. The AIFDR works in close partnership with the Indonesian Disaster Management Agency, BNPB, and focuses on enhancing Indonesia’s capacity to identify, mitigate and respond to risks from natural disasters. One of the existing commitments is Capacity Development Support Programme (CDSP).



BNPB

Badan Nasional Penanggulangan Bencana or the Indonesian Disaster Management Agency was inaugurated by Presidential Decree in 2008 and established as a key national disaster management agency responsible for coordinating and conducting pre-disaster, response, and posting in accordance with the National Disaster Management Law No. 24 Year 2007.



ICT Master-Plan

BNPB is currently operating from three separate main buildings. In a few years, all the personnel, asset, and operations will merge into one building. To assist effectiveness and efficiency in coordination, disaster preparedness, emergency response, and other programs, a long-term business roadmap and comprehensive technical blueprint is needed to secure the ICT foundation.





2. Objective

To assist ICT Advisor and ICT Master-Plan Team in various program, administration, and activities





3. Duties and Responsibilities

Assist in program planning, administration, activities, and office works

Manage office arrangements and in-charge of various logs

Prepare and setup meetings, workshops, and presentations

Translate bilingual documents and assist interpretation in English and Indonesian

Perform secretarial and other duties



4. Reporting

The assistant will deliver monthly report to the ICT Advisor. The reports will follow specified templates and will undergo auditing process every three months, which will determine continuation of the applicant into the next quarter.





5. Remuneration and Scope of work

Remuneration

Monthly contract/service fee of Rp. 5.000.000,- inclusive tax



Length of duty

Starts as soon as possible and finishes on June 30th, 2014



Facility

Working desk, shared internet, shared printer



Confidentiality

Maintain confidentiality of information and specifics regarding concepts, content, and other matters indirectly related to the Master-Plan that is being drafted.





6. Criteria

Technical qualification

At least two years experience in secretarial or executive assistant

Very confident in translating bilingual documents and interpretation duties

Touch-typist

Stenography

Able to write and compile reports in English

Able to correspond and coordinate with multi-stakeholders in English



General qualification

Fluent English

Bachelor in secretarial, business administration or law

Comfortable using Microsoft Word, Excel, Powerpoint, Email, video-conference, internet

Minimum 3 years of experience in secretarial-related field

Ability to multi-task, set work priorities, work under pressure, and maintain sense of humor
