GIZ Indonesia for the Sustainability and Value Added in Agricultural Supply Chains (SASCI+) Project: Office Support Staff

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is an international cooperation enterprise for sustainable development with worldwide operations on behalf of the German Government. 

The global program “Sustainability and Value Added in Agricultural Supply Chains” is part of the special initiative “Transformation of Agricultural and Food Systems”. On behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ), the program promotes the sustainability of selected agricultural supply chains in partner countries. 

SASCI+ is implemented together with the Indonesian Ministry of Agriculture, the political partner of the project.

The project is recruiting a position to support the implementation of activities in Jakarta Office:  

Office Support Staff


A.    Responsibilities

·         Keep the office premises clean and tidy
·         Running official errands and assisting with other office services 

B.    Tasks

  1. Office Services
  • Wear a proper uniform
  • Cleans the office premises, rooms, furniture, carpets, and windows.
  • Checks and refills supply in all areas, including office supplies, groceries, and toiletries.
  • Sets up and prepares the meeting rooms as instructed, including the meeting logistics/equipment, such as LCD projector, notebook, flipchart, etc.
  • Supplies the offices with hot and cold beverages and other catering services.
  • Runs errands, e.g.: buying lunch for office staff, if and as required
  • Provides services at meetings, e.g., serves coffee and tea for guests and visitors.
  • Reports if stocks, e.g., of beverages are low, and need to be replaced.
  • Assist in proper maintenance and repair of office premises and equipment 
  1. Supports Office Communications and Administration
  • Operating the telephone and informing staff of important communications
  • Makes photocopies and scans documents, if and when required
  • Supports the Administrative & Finance Specialist in collecting project funds from the bank, paying office bills, buying small quantities of office supplies & stationeries, if requested
  • Supports and checks office logistics (supplies & stationeries) and reports it to Junior Finance Professional
  • Supports office for messenger services, e.g.: sending letters and messages.
  • Assists in the logistical management of the meetings, workshops and other activities of the project by documenting events (taking photos)
  • Supports the Administration and Finance Specialist in filling and organizing supporting documents of project. 
  1. Other duties/additional tasks
  • Assists other colleagues as needed if there is no duty travel and carries out other office work as assigned.
  • Undertake further job training related to his position and duties, if required. 

C.   Required qualifications, competences and experience

Qualifications

·         At least Senior High School graduate (SMA or SMK) 

Professional experience

·         At least 1-3 years’ work experience in a comparable position with references 

Other knowledge, additional competences

·         Sufficient knowledge of English;

·         sensitivity in handling and disposing of documents which may be important.

·         reliability and good organisational skills, appropriate appearance, and clothing 

Duty Station: Jakarta

Joining Date: As soon as possible
