Vacancy Announcement "Administration Assistant"

 

The Wildlife Conservation Society (WCS) has a distinguished history of experts exploring and saving wildlife in some of the most remote and wild places remaining on Earth. The Wildlife Conservation Society – Indonesia Program (WCS-IP) has significantly grown over the last decades and contributed to supporting the Government of Indonesia (GoI), particularly the Ministry of Environment and Forestry (MoEF) in conserving Indonesia’s biodiversity. WCS-IP is structured under five core thematic programs: Forests; Marine; Wildlife Trade & Policy; One Health; and Rights & Communities.

In Sumatera, WCS-IP is supporting the Gunung Leuser National Park Authority and the Natural Resources Conservation Agency (BKSDA) Aceh on the implementation of conservation in the Leuser landscape, including biodiversity monitoring, human-wildlife conflict mitigation, SMART patrols, and capacity building to stakeholders and local communities. Leuser landscape is one of WCS-IP’s priority areas as it provides critical habitat for endangered species, such as Sumatran orangutan, tiger, elephant, rhino, and helmeted hornbill.

In order to achieve our overall goal of saving wildlife and wild places, WCS-IP is currently seeking for qualified candidates to fill the Administration Assistant vacancy.

POSITION OBJECTIVES

The objective of this position is to provide support for the smooth and efficient operational of the Leuser Landscape Program Management. The position is responsible for administrative support required by the staff in his/her area of operation, especially the Leuser Landscape team. The Administration Assistant will work in close coordination with Admin and Finance units, and report directly to the Senior Administration Coordinator.

SCOPE OF WORKS

ADMINISTRATIVE AND HR

  • Manage all procurements that require by the project field and liaise with Senior Admin Coordinator in WCS-IP’s Head Office in Bogor for further procurement process.
  • Ensure the upkeep of the field office (building, furniture, equipment, and vehicles) initiate the process for any necessary repair and maintenance.
  • Ensure adequate supplies are available in the field office.
  • Perform annual and semi-annual physical inventory of all office assets (IT, furniture, equipment, office and project supplies and vehicle).
  • Responsible for any travel arrangement (ticketing, accommodation, local transportation) needed by field staff, partners, consultants, and volunteers who are travelling out their work based.
  • Provide support for event arrangement (venue, accommodation, and transportation).
  • Assist in meeting logistics that is held at the field /field office.
  • Assist in filling letters/documents and writing letters.
  • Compile and summarize timesheet records of staff and submit data to head office for payroll preparation.
  • Manage petty cash for operational project office.
  • Prepare monthly report on advance vs settlement.

OTHER

  • Work closely with Admin and Finance Officer in Medan and Banda Aceh Offices, Finance Manager and HR and Operation in Bogor Office, as necessary to resolve any accounting, administrative or human resource issue in the field.
  • Responsible to inform new consultant or new staff to meet the financial procedures.

REQUIREMENTS

This position will be based in Medan, North Sumatra, with possibilities to travel to project sites across Aceh Province, Jakarta and Bogor as required. The ideal candidate will have:

  • At least 4 years of experience in finance and administration works for NGO, corporates or public relations agency.
  • Graduated from administrative, secretary, or related undergraduate degree major.
  • Knowledge and/or experience in administration work is preferable.
  • An ability to communicate with board range of people and finding solutions of problems.
  • Good interpersonal skills to deal with a diverse group of contacts (including local stakeholders and communities), and ability to be a team player.
  • Excellent written and verbal communication skills in both Indonesian and English.
  • Aptitude in the use of a MS spread sheet and words, skill in database will be an advantage.
  • Having experiences working in Sumatra, especially North Sumatra and Aceh will be an advantage.
