Yayasan Kasih Globalindo JOB VACANCY : Several positions

Yayasan Kasih Globalindo is a non-profit organization specializing in the diagnosis and management of HIV and sexually transmitted infections (STI). Yayasan Kasih Globalindo is opening a new health clinic that will provide comprehensive HIV and STI services.

This clinic will be focused on early diagnosis and treatment of HIV to preserve immune function and stop HIV transmission. We are looking for dedicated, caring staff who will provide non-judgmental, one-stop services for young people at risk coming from Jakarta and the surrounding area.
Currently Yayasan Kasih Globalindo (YKG) is looking for:

2. Medical Doctor (MD) – 1 person
Organizational Context
  • She/he is under the direct supervision and general guidance from the Director of Yayasan Kasih Globalindo (YKG)
  • She/he provides medical services ensuring high quality and accuracy of work to support the medical support team.
  • She/he promotes a client oriented approach with focus on results.
Function/Key Results Expected
  1. Assist in the day to day medical service for providing the clinic and other key partners with medical support including   diagnose, treatment/care and follow up treatment
  2. Prepare and provide the doctor’s referral for the laboratory testing, supporting, follow up counseling and referring the patient to the specialist doctor. 
  3. Initiate to consult with the specialist doctor for getting the medical assessment report for the patient in special case
  4. Supervise and guide medical support staff including the preparation of their individual performance and development/learning plans; initiating mid-year reviews and completion of Result and Competency Assessment.  
  5. Keeps abreast of changes in SOP (Standard Operating Procedure), regulations and proposes new or revised procedures and practices, interprets and assesses the impact of changes, and makes recommendations for follow-up actions.
  6. Drafts correspondence of a complex or sensitive nature; writes special reports, evaluations and justifications as required on general medical diagnose or specialized tasks; and maintains confidential files.  
  7. Maintains close contact with relevant Government officials, donor and the key partner to ensure the provided service applied to the standard operating procedures by Ministry of Health/Donor/Health/Donor/another key partner. 
  8. Assists and advise in managing budget for Medical services, general operating costs.

  1. Gathers patient information by collecting demographic information from a variety of sources; interacting with registration areas and physicians' clinic; retrieving information from e-file.
  2. Maintains master patient index by completing assigned portion of daily audit trail; corrects and communicates problems according to established Standard Operating Procedure (SOP).
  3. Initiates the medical record by creating and processing the patient care record folder.
  4. Retrieves medical records by following the Standard Operating procedures; documenting reasons medical record cannot be retrieved and follow-up purposes.
  5. Delivers medical record to assigned areas of the clinic by following established routing procedures.
  6. Keeps health care providers informed by communicating availability or unavailability of the record.
  7. Maintains quality results by following Clinic’s standards.
  8. Maintains continuity of work operations by documenting and communicating actions, irregularities, and continuing needs.

  2. Dispenses medications by compounding, packaging, and labeling pharmaceuticals.
  3. Controls medications by monitoring drug therapies; advising interventions.
  4. Completes pharmacy operational requirements by clinc and directing technicians' work flow; verifying their preparation and labeling of pharmaceuticals; verifying order entries, charges, and inspections.
  5. Provides pharmacological information by answering questions and requests of health care professionals; counseling patients on drug therapies.
  6. Develops clinic staff's pharmacological knowledge by participating in clinical programs; training pharmacy staff, students, interns, externs, residents, and health care professionals.
  7. Complies with state drug laws as regulated by the state board of pharmacy, the drug enforcement administration, and the food and drug administration by monitoring nursing unit inspections; maintaining records for controlled substances; removing outdated and damaged drugs from the pharmacy inventory; supervising the work results of support personnel; maintaining current registration; studying existing and new legislation; anticipating legislation; advising management on needed actions.
  8. Protects patients and technicians by adhering to infection-control protocols.

  3. Prepare and keep update the Standard Operating Procedure and adhere to correct procedure, policies and health/safety guidelines.
  4. Keep abreast of all industry developments and best practices for the laboratory and follow the methodologies in carrying routine tasks and approved by the clinic coordinator

  3. Providing the updated and relevant information related to HIV and AIDS for the patient for encouraging the patient in deciding to follow the HIV/AIDS testing including provide the “Informed Consent” document and other documents as needed.
  4. Initiate in visiting the patient “home visit” for following up or provide any assistance as requested or needed.
  5. Keeps abreast of changes in SOP (Standard Operating Procedure), regulations and proposes new or revised procedures and practices, interprets and assesses the impact of changes, and makes recommendations for follow-up actions.
  6. Drafts the pre- & post-concealing of a complex or sensitive nature; writes special reports, evaluations and justifications as required on general recommendation or specialized tasks; and maintains confidential files.

8. Community Outreach worker (COW) – 1 person

  1. Work with Clinic coordinator to annually develop and implement a comprehensive and innovative community outreach plan targeting individual, private, corporate and other local organizations (Local NGOs) 
  2. Work collaboratively and seamlessly with staff to identify new potential foundation, individual, private, corporate and other local organizations (Local NGOs) .
  3. Determine potential partners relevant to YKG through ongoing research and evaluation, and cultivate those prospects that best align with YKG’s strategic short- and long-term priorities and needs.
  4. Initiate to visit the patient or “home visit” in following up the lost follow-up patient and engage the patient to follow the treatment
  5. Submit proposals to engage potential partners on behalf of YKG in a timely and consistent manner. This includes developing concepts, gathering and formatting information and preparing clear communications.
  6. Research and assist in developing plans for expanding the YKG presence.
  7. Under coordinating with Clinic Coordinator and Media Communication, serve as an ambassador of the mission of YKG in the interaction with current and potential partners and the media.
  8. Under coordinating with Clinical Coordinator and the partner of YKG, prepare and conduct the mobile testing at appointed hot spots.
  9. Prepare the periodically reports submitted to Clinic Coordinator, donor or other partners

9. Communication and Media Officer (CMO) – 1 person
Organizational Context
  • She/he is under the direct supervision and general guidance from the Clinic Coordinator of Yayasan Kasih Globalindo (YKG) to implement Plan YKG’s communication strategy, including the proposal of adjustments;
  • She/he supports the communication and media work of Plan as organization/Clinic
  • She/he promotes a client oriented approach with focus on results.
Function/Key Results Expected
  1. Operation and monitoring
    1. To report on the progress of the communication work plan including the coordination of the delivery of its outputs as well as the documentation;
    2. To oversee internal and external communication and media work of Plan to reach out more effectively to YKS target audiences;
    3. To develop communication messages relevant to Plan YKG’s work and streamlining Plan YKG’s messaging;
    4. To conceptualize and develop creative communication actions and tools (using the social media e.g: Facebook, Instagram, Twitter and Vlog on Youtube and etc) for Plan targeting YKG and global reach audiences, including tailored tools for YKG target groups and partners;
    5. To develop media communication (e.g website, publication in e-file or hard file), including drafting press briefings, and press releases, their distribution to the target groups and monitor the preparation of press clippings;
    6. To monitor and analyze YKG press including prepare the questionnaire for measuring the satisfaction of audience as the indicator of the successful communications plan/tools and etc.
B.  Networking & Outreach
    1. To strengthen Plan YKG Office’s media relations as a tool to engage the broader public in Plan’s advocacy work;
    2. To build and promote partnerships across the organization and beyond, representing Plan YKG on all relevant communication networks within Plan;
    3. To represent Plan YKG and other external stakeholders as well as at conferences, seminars and other media or policy events;
    4. To review and monitor on progress of outreach opportunities and take appropriate follow up action.
C. Management
    1. To strengthen YKG’s branding in a consistent way aligned to the one of Plan as a organization/NGO.
    2. To organize related communication actions and events for internal organization and partners as needed;
    3. To conduct evaluations of YKG’s communication strategies and plans;
    4. To monitor Plan YKG’s communication budget and ensure that all budget reporting requirements are adhered to and are of a high quality.

10. Finance Assistant (FA) – 1 person

  2. Assist Clinic Coordinator in conducting initial reviews on budget and financial reports in periodically to ensure that all supporting documents are complete, accurate, available and comply with the policies.
  3. Prepare the related financial documents and process all expenses for operations and activities at YKS as approved by Clinic coordinator
  4. Assist the Clinic Coordinator in liaising with auditor team, providing documents and follow up to audit recommendations.
  5. Prepare and keep update the Standard Operating Procedure of Financial and adhere to correct procedure and policies.

Reception
    1. Greets and assist all visitors
    2. Notifies appropriate employee of visitor or patient's arrival and escort the visitor to the spot-on place
    3. Keeps the reception area clean, tidy, noise free and in good order
 Communication
    1. Answers telephone and provides appropriate general information only.
    2. Direct caller to destination. Records name, time of call, nature of business and person called upon if employee is unavailable. Accurately takes and delivers messages.
    3. Place phone calls on behalf of Senior Staff
    4. Responds to caller questions about Clinic, as appropriate.
Administration
    1. Handling and keep maintain the patient’s record include the patient’s visit.
    2. Preparing and drafting the outgoing letter with the sensitive nature and maintains files as confidentiality
    3. Handling incoming mail/package and maintaining necessary logs
    4. Maintain publication information shelves at the reception by supplying relevant publication copies.
    5. Receives incoming faxes and documents via courier and distributes to appropriate staff and maintains a log (faxes from Donors may be photocopied)

12. Office Assistant (OA) – 1 person
Organizational Context
  • She/he is under the direct supervision and general guidance from the Medical Doctor of Yayasan Kasih Globalindo (YKG)
  • She/he provides the health care/treatment services with ensuring high quality and accuracy of work to support the medical support team.
  • She/he promotes a client oriented approach with focus on results.
Function/Key Results Expected
  1. Respond to disseminating details through phone, fax and e-mail.
  2. Organizing and keeping files and handling projects under the clinic.
  3. Answering and forwarding phone call, and taking messages.
  4. Providing details of common clinic information to phone callers, and clinic visitors
  5. Monitoring the use of devices and supplies within the workplace.
  6. Dealing with inquiries or needs from the visitors and workers.
  7. Coordinating the maintenance and repair of devices for the workplace.
  8. Assisting the other staff in wide variety of workplace responsibilities.
  9. Collecting and distributing couriers or packages among workers and starting and searching messages.
  10. Delivering facsimiles and sending them, and doing any related search projects.
  11. Helping the staff, or other management staff in doing their responsibilities.
  12. Cooperating with workplace personnel to maintain proper connections and a friendly environment within the clinic as well as understood and adhere to the waste clinic management.

Recruitment Qualification
Education:
    • Minimum Senior Hight School with any disciplines 
      Experience:
    • Minimum of 2 years of progressive responsibility in related work experience, preferably in handling the HIV/AIDS case
    • Work experience within the HIV/AIDS program is a distinct advantage, and it is requirement.
