We are currently seeking qualified candidates
for the position of Project Assistant,
based in Jakarta. Position is open for
Indonesian nationality only.
She/ he
will function as Project Assistant (PA) for Project Manager and will work as
part of the PEKERTi project team. The
PA will provide technical and administrative support for PEKERTi project under
the direction of the Project Manager. PA will also assist PM in maintaining
close relationships with in-country key stakeholders to ensure successful
implementation of the project.
The Project Assistant also provides
general administrative support for PEKERTi project team. She/ He provides
efficient and timely action on administrative matters and is responsible for
the preparation of correspondence and materials, coordination for meeting and
conference logistics, coordination of travels and assistance with preparing
financial and programmatic documents and reports.
Responsibilities
- Assist the Project Manager with ensuring high-quality implementation of project interventions;
- Assist Project Manager in production of country-related documents, including contracts, disbursement schedules, project budgets, project work plans, monthly reports and narrative reporting schedules;
- Compile and file grant documents including monthly reports, contracts, project budgets and donor-specific procedures and regulations;
- Compile and file grant progress documents including technical and finance report, M&E progress updates and grant modification/ allocation documents;
- Coordinate and take minutes of program meetings;
- Document achievements, challenges, and decisions-made of key activities with partners and stakeholders;
- Assist the HSS - PEKERTi team by performing tasks that support the programmatic work including tracking procurement process in collaboration with procurement assistant, deadlines and programmatic data entry;
- Supports workshop/meeting/training planning, materials preparations, venue confirmations and communications with attendees;
- Develops correspondence (letters and other documents) intended for both external and internal audiences in coordination with supervisor or other team members, formats, reports and forms, arranges document translation, and photocopies documentation;
- Performs other duties as assigned.
Requirements
- Bachelor’s degree in Management or Social Science
- Min. of 2 years proven working experience as Project Assistant
- Experience working in a non-profit organization
- Experience working in women issues, SRHR and social justice issue is preferable
- Excellent communication and inter-personal skills, and ability to multitask with minimum supervision;
- Work effectively with government and non-government stakeholders;
- Advanced English speaking and writing skills;
- A high level of initiative and creativity as well as a pro-active and flexible approach to work.
