HSI: Project Administration Digital Defenders Partnership

 

Yayasan Humanis dan Inovasi Sosial is an Indonesian organization affiliated with Hivos, born out of an active collaboration between Netherlands based Hivos and several like-minded Indonesian academics and civil society leaders who subscribe to the values and mission of Hivos. The purpose is to promote humanist values in the social, health, and cultural fields which is defined in terms of the ability for each individual to assess and decide independently and responsibly, the right to freedom, dignity and a passion to create a just and tolerant society.

Yayasan Humanis seeks qualified candidates for the position of:

 

Title                 : Project Administration Digital Defenders Partnership

Duty Station     :  Jakarta

Duration           :  1 (one) year

Report to         :  DDP Project Manager Operations

 

 

Are you committed to defending human rights offline as well as online? Do you have experience in digital security, organizational security, and coordinating networks? Are you flexible, and able to contribute to a whole range of tasks within the Digital Defenders Partnership program? The DDP team would love to have you as a colleague.

 

The Digital Defenders Partnership (DDP) was initiated late 2012 by the Freedom Online Coalition (FOC)  to advance Internet freedom and to keep the internet open and free from emerging threats, specifically in internet repressive and transitional environments. The DDP team consists of about 35 team members in 4 regions (Asia, Africa, Latam, EU).

 

We are looking for someone who can work dedicated working hours towards the DDP. You will be in daily contact with the DDP international team; receiving invoices, supporting the financial officer, attending DDP team meetings online

 

Roles and responsibilities

The PA reports to the DDP Project Manager Operations and has the following responsibilities:

1. Supporting with Financial tasks

Supporting the Financial officer (FO) with the assessment of partner budgets, financial reports and audited statements

Logging and processing invoices and reimbursement requests  (indicating budget lines/funders on invoices)

Assisting the FO with registration of budget expenses, and timesheets in the project management system Allsolutions and programme Excels

Preparing documents for the yearly audit


2. Supporting with Admin tasks related to grants and contracts 

Registering partner/fellow/consultant details into the Hivos system All Solutions

Checking correctness and completeness of contracts, in line with Hivos/DDP procedures

Assisting POs with reviewing quarterly grantee reports

Assisting POs with registering partner results in the M&E results framework 

Preparing payments to partners/fellows/consultant in the All Solution system

Closing contracts

Filing and archiving partner documentation


3. Overall DDP admin and reporting support 

Booking flights and accommodation for DDP team/partners/trainees

Supporting a global DDP team across the world and in different timezones with multiple requests

Supporting POs and PMs in the official reporting structure to the back donors

Supporting in agenda management, planning

Logistical arrangements for meetings, events and conferences

Supporting POs with maintenance of communication materials (flyers/prints)



Knowledge, experiences and competencies

  • You have financial working experiences; proven experience in working with budgets
  • You have strong organizational skills; proven experience in administrating projects/organizing events/administrating international teams
  • You are flexible and positive; you are able to deal with different tasks that come up within the DDP program, you are able to plan and prioritize.
  • You have a no nonsense attitude and you are able to manage a (at times) high and demanding workload (excellent multitasking skills).
  • You have an attention to detail and excellent time management skills
  • You are a team player; you enjoy working in collaboration with the DDP team and assisting team members with their tasks
  • You show initiative by improving work processes and engaging in quality improvement of projects and activities.
  • You have strong communication skills, written and verbal as well as interpersonal
  • You are an open communicator; able to communicate any ambiguity or insecurity
  • You preferably have affinity with activists, human right defenders and other critical voices under pressure
  • You preferably have affinity with internet Freedom, digital technologies and holistic security
  • You subscribe to the DDP core values (Human rights & Internet freedom, Confidentiality & Trust, Mentorship & Partnership, Not claiming but Facilitating, Quality & Expertise, Non-violence & Feminist values)
  • You work with a high degree of professionalism and confidentiality
  • You have excellent oral and written skills in the English language.
  • You have excellent command of MS Office
  • You are able to use encryption and other secure communication tools, or willing to use it
