TERMS OF REFERENCE

I. Under the supervision of the Programme Specialist for Environmental Sciences, and working closely with other colleagues in the Environmental Sciences Unit as a team, the incumbent shall provide technical assistance to the Unit in the implementation and coordination of the extra-budgetary projects of the unit

The incumbent shall:

1. Provide support to the day-to-day coordination of the extra-budgetary project activities, i.e. assist in planning, implementation, monitoring and reporting;

2. Provide technical and logistic assistance in the management and implementation of the extra-budgetary projects, including but not limited to:

* Review the proposals from project partners,
* Undertake assessments and field missions,
* Assist the organization of project activities such as technical meetings, workshops and training as well as other events related to the Unit’s programme. Arranges meeting facilities and equipment, makes travel arrangements, prepares correspondence and assembles documents for participants.
* Attend meetings/sessions, take notes, draft minutes and follow-up on deadlines for agreed upon action.

3. Assist in the production of a variety of reports by compiling and analysing of field data, information and studies regarding environmental and socio-economic topics related to the extra-budgetary projects;

4. Provide administrative assistance and advice, including assistance in the provision of oversight of all administrative matters related to the implementation of the extra-budgetary projects, and ensure that all operations under the projects such as contracts, reporting and financial disbursements are in line with UNESCO’s administrative rules and regulations. Drafts correspondence related to queries and problems encountered in the administration and control of accounts.

5. Assist in the development and maintenance of positive working relationships with UNESCO’s partners and relevant stakeholders, including but not limited to government agencies, donors, non-governmental organization, private sectors, and local communities;

6. Prepare short reports, summaries, aides-memoires, minutes of meetings, media releases, updates for website regarding the extra-budgetary projects;

7. Perform other relevant duties as requested by the Programme Specialist for Environmental Sciences in Jakarta;

II. The working hours and work schedule as follows:
Mondays to Fridays, 40 hours per week

III. Recruitment Qualifications
Education: A Bachelor Degree preferably in environmental or social sciences or equivalent academic training or work experience.

Work Experience:
- At least 4 years relevant experience in development issues with local and/or international organizations;
- Having strong computer skills;
- Having experience in working with governmental and non-governmental agencies;
- Having strong analytical and negotiation skills;
- Ability to work as a team member as well as work independently with minimum supervision, with efficiency, competence, integrity and in harmony with people of different national backgrounds

Technical requirements: Knowledge on issues related to environment, conservation, climate change and sustainable development and previous UN work experience is an added advantage

Languages:
Fluency in spoken and written in English and Indonesian as well as possess the ability to draft documents and express views in a clear and concise manner

*) Initially 2 months with possibility of extension. Subject to satisfactory performance during SSA, the contract will be converted to Service Contract for min. 11 months.
