JOB  DESCRIPTION

Job Title           :DRR Project Assistant
Location           : East Jakarta
Division            : Program

BACKGROUND
TO THE ROLE
KARINA (Caritas
Indonesia) is the humanitarian arm of the Bishops’ Conference of Indonesia
based in East Jakarta and is officially considered as a member of the Caritas
Internationalis confederation. Established in mid-2006, it recently completed
its first strategic planning in early 2008. One of the results of the strategic
planning is the identification of 2 (two) main divisions: Programs Division and
Support Division. KARINA (Caritas Indonesia) acts as a coordinating and
facilitating body for all the 37 Dioceses incorporated under the Bishops’
Conference of Indonesia.

REPORTING
TO
DRR
Coordinator and DRR & ER Manager

CONTRACT DURATION
The contract will be
until 31 January 2013 (3-4 Months)

KEY
REPONSIBILITIES
The
jobholder will plays a key role in covering all aspects related to the
administration management capacity of DRR Unit in order to support the
successful implementation of projects.

TASKS/DUTIES
1.      Act as DRR unit
liaison in organizing and planning DRRtravel
and program’s work plan and make sure that all financial, administration and
its documentation comply with KARINA’s
financial standard operational procedures.
2.      Prepare and organize DRRmeetings/workshops/training. This will
include planning, logistic and venue arrangements, administration and
meeting/workshop/ training management.
3.      Prepare and manage DRRarchive systemsuch asproject contracts and/or MOU, project narative
report document, andproject financial document. These will include
preparing project administration database, updating and its communicating
mechanism periodically to other DRR unit staffs, financial department,
communication and networking officer and KARINA’s DRR-ER Manager.
4.      Prepare travel documents and other
required documents for DRR unit staffs.
5.      Update and communicate periodically
KARINA’s DRR& ERunit activity schedule.
6.      Assist consolidation process of KARINA’s
DRRunit’s narrative and financial documents
7.      Assist KARINA’s DRRteam in
preparation of DRR  data and information for public
relations and/or advocacy purposes.
8.      Willingto be assigned duringemergency response as required by the

what had been spent and had been accepted, also show supportive evidence).
9.      Write Back to Office Report (to be
circulated internally by Communication Officer) after attending
meetings/conferences/workshops/trainings/events/site visits to project location
with project partners and/or donors.

REQUIREMENTS:

1. Minimum Diploma in Administrative Management and/or extensive demonstrated relevant experience in the role of assistant project especially DRR project.
2. Highly developed communication skills – both oral and written.
3. Ability to influence and coach others.
4. Open sharing of information and knowledge.
5. Strong people relationship skills.
6. Sound judgement and decisiveness.
7. Diplomacy and discretion when dealing with confidential matters.
