Lutheran World Relief (LWR), a U.S. based non-profit development
organization engaged in seeking lasting solutions to poverty and
reducing risk, is seeking an experienced Program Assistant for its
Indonesia programs to be based in Medan, Indonesia with travel to
project sites.
The Program Assistant provides project and administrative support all of
LWR's program operations in Indonesia. The PA will serve as the
focal point for project-related records management, development of
marketing and communication materials, and research on development
trends and strategic partners for Indonesia. The position is a
temporary position with a definite period contract for 6 months
effective immediately.

6. At least 3 years' experience in a similar role.
7. Bachelor's degree in a relevant field.
8. Excellent interpersonal skills.

DUTIES & RESPONSIBILITIES
A. Program Operation Duties
1. Coordinate with the Program Manager in developing concept
papers, proposal development, budget narrative, partner profile, and
accompaniment strategy; ensure that all proposal submissions are
complete and properly formatted and that they are received in sufficient
time to allow for a complete review and response, as needed, by the
partners before submission to headquarters.
2. Ensure all project files are up to date. Work with Program Manager
and partners to ensure the quarterly progress reports, financial, audit,
and evaluation reports are submitted in accordance with the LWR's
guidelines and that they are submitted to the headquarters on a timely
basis.
3. Ensure that all project reports are in English (including
facilitating the translation of these documents) before being submitted
to HQ and filed in English.
4. Support the Program Manager in partner and projects accompaniment
including making monitoring visits and translation of reports as needed.
5. With the Program Manager, monitor detailed implementation plan and
budget of the projects; ensure that partners implement activities as
planned.
6. Prepare the exhibit sheets, closure reports, and other documents
for all projects; preparing routing, tracking, and recording fund
transfers for all projects.
7. In-put and update data on all projects into the data management
system; establish and maintain electronic and hard copy files for all
projects.
B. Communications and Research related duties
1. Read and route all in-coming correspondence and other related
documents; and assist in replying and drafting correspondence, as
requested.
2. Follow-up issuance of official receipts of fund received from
LWR by partners.
3. Document staff meetings and other staff activities.
4. Organize/Update filing of all communications related
documents (e.g. list of resource materials, communications, profile
of partners, project files, etc.)
5. With Program Manager and HQ PA for Emergencies and
Communications, develop and update brochures, human interest stories,
and other communications materials
6. Prepare background materials for visitors to the regions and
for visitors from the region to the US as requested.
7. Gather relevant resource materials for the program operations
and establish in-house library of hard copy and e-files on relevant
sectors.
8. Conduct research on development trends in Agriculture,
Climate Change, DRR, and Emergencies for proposals and concepts
papers as requested
