Project Assistant
A. Responsibilities
§ Assist the office
manager in administrative services for the program
§ Ensure that the necessary
supplies are available
TheAdministrative Project Assistantperforms the following tasks:
B. Tasks
The person should handle :
§ Manage in- and outgoing
phone calls, faxes, emails, parcels, post, and hand delivered package
§ Writing and filing
internal and external letters and general correspondence
§ Maintaining and
monitoring event schedule (training, workshop, meeting, etc)
§ Making appointment for
meeting with counterparts, partners, and others
§ Monitoring staff’s
calendar including duty trip, annual leave, etc
§ Keep overall smooth,
uninterrupted functioning of the office including report and follow up damages
of office equipment.
Other
duties/additional tasks
* Supports the Office Manager as requested and in line with workload of daily tasks
* Responsible for filing in accordance with GIZ rules
* Performs other duties and tasks at the request of management
C. Required qualifications, competences and experience
Qualifications
* Vocational training in administration or similar area
§ At least 2 years’ professional experience in a
comparable position
* Good working knowledge of IT (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
* Good knowledge of English language
* Good communication skills and integrity
Duty Station : Jakarta
