Description: Executive Secretary
Executive Secretary Job Purpose: Enhances executive's effectiveness by providing information management support; representing the executive to others.

Skills/Qualifications:

·       Typing/fluent in English, is a must, typing/speaking Arabic,  will be as advantages and most consideration,

·       Administrative writing skills, reporting skills, supply management, scheduling,

·       Microsoft Office Skills, Organization, Time Management, Presentation Skills, Equipment Maintenance, Travel Logistics, Verbal Communication

Executive Secretary Job Duties:

    Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
    Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
    Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
    Represents the executive by attending meetings in the executive's absence; speaking for the executive.
    Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
    Maintains customer confidence and protects operations by keeping information confidential.
    Completes projects by assigning work to clerical staff; following up on results.
    Prepares reports by collecting and analyzing information and secures information by completing data base backups.
    Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
    Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
    Contributes to team effort by accomplishing related results as needed.

Knowledges and abilities: The knowledges, skills and attitudes required for satisfactory job performance

Knowledges and abilities: The knowledges, skills and attitudes required for satisfactory job performance

·       The incumbent must have proficient knowledge in the following areas: office administration an understanding of relevant legislation, policies and procedures of recruitment company.

·       The incumbent must demonstrate the following skills: team building, bookkeeping skills, analytical and problem solving skills, decision making skills, effective verbal and listening, communications skills.

·       Computer skills including the ability to operate computerized accounting, spreadsheet and wordprocessing programs at a highly proficient level Stress management skills time management skills

·       The incumbent must maintain strict confidentiality in performing the duties of the Finance Clerk.

·       The incumbent must also demonstrate the following personal attributes: be honest and trustworthy, be respectful, possess cultural awareness and sensitivity, be flexible demonstrate sound work ethics

·       The Executive Secretary would normally attain the required knowledge, skills and attitudes through completion of an office procedures and/or bookkeeping course combined with related experience. Equivalencies will be considered



Working Conditions

·       The unavoidable, externally imposed conditions under which the work must be performed and which create hardship for the incumbent including the frequency and duration of occurrence of physical demands, environmental Demands (The nature of physical effort leading to physical fatigue)

·       The Executive Secretary may have to manage a number of projects at one time, and may be interrupted frequently to meet the needs and requests of residents, clients and contractors.

·       The Executive Secretary may find the environment to be busy, noisy and will need excellent organizational and time and stress management skills to complete the required tasks.
The Executive Secretary will have to manage a number of requests and situations at one time. Stress may be caused by the need to complete tasks within tight deadlines
