Job description: Accountant & Event Assistant
In the frame of the project entitled
“Technical Cooperation for the EU-ASEAN Capacity Building Project for
Monitoring Integration Progress and Statistics (EU-ASEAN COMPASS)”, Adetef, as
leader of the implementing consortium with notably AETS Indo Pacific as partner, proposes
one full time Accountant Assistant & Event Assistant job, to contribute to
the management of project’s activities within the ASEAN region. The duration of
the project is 48 months.
Responsibilities:
Employed by AETS, the Office Manager
will work under the responsibility of AETS INDO PACIFIC representative and
under the supervision of the Team Leader and of Adetef Project Manager &
Project Officer.
To execute his/her duties, the Accountant
Assistant & Event Assistant will work in close collaboration with one (1) Office
Manager:
The Accountant Assistant & Event
Assistant will:
a) Support the Team Leader and the Office
Manager in the administrative, organisational and logistical organisation of the
activities:
-
Coordination
with the partner administrations – ASEAN Secretariat and ASEAN Member Countries);
-
Liaising
with the EU Delegation in Jakarta as and when required.
-
Organisation
of the Experts missions in Jakarta and in the ASEAN region (agenda,
interpretation, hotels..);
-
Organisation
of group meetings and study visits : travel and accommodation of the
participants, assistance to experts and participants for visa requirement, recruitment
of interpreters and translators, provision of necessary meeting room, equipment
and staff);
-
managing
Petty Cash and / or Incidental Expenses
For
the organisation of activities within the CLMV countries, the
Accountant & Event Assistant will work in close collaboration with
the national
Coordinators.
b) Contribute to the financial reporting
of the Project under the supervision of the Team Leader and in close
relationship with the Adetef Project Manager & Officer. This concerns
foremost:
-
the
follow-up of the timesheets of all experts of the project,
-
the
cash management, bank account management, verification and recording in the
accounting system of all the expenses, compilation and analysis of the
operation unit costs (including collection of the evidences).

the
financial planning and reporting in close relationship with the Adetef Project
Manager & Officer: reconciliation of all transactions made for the
incidental budget and subsequent monitoring through regular comparison of
actual versus planned costs and will report on these to the Adetef Project
Manager & Officer.
c) Perform any additional ad hoc tasks
as required by the Team Leader and perform other related duties consistent within
the job description and the post.
Profile of the Candidate:

Formation
level: University Degree in Economy, Management and/or Accounting
-
An
experience in international project management is preferable
-
Fluent
in English
