SCI seeks a Finance & Admin Assistant – CERIA Project, based in Malaka

Finance & Admin Assistant – CERIA Project
1 position, based in Malaka
Code : FAA-CERIA

ROLE PURPOSE:
The Finance & Admin Assistant for Malaka Project will provide support to the Finance and Admin Officer related to financial, administration management such as daily process of transaction for several projects in Malaka, as well as to ensure appropriate, accurate and timely recording of transactions and implementation systematic filing and retrieval system of documentation ensure all project in Belu/Malaka run smoothly and meet with project goals

Reports to: Finance and Admin Officer at Belu District

KEY AREAS OF ACCOUNTABILITY:
Financial Area ;
    • Review the supporting documents on each transaction to be processed, ensure all supporting documents is complete.
    • Ensure all payments are made in compliance with Save the Children International policies & procedures e.g. they are correctly authorized in accordance with the Scheme of Delegation, coded per relevant budget lines, are supported by relevant forms and documentation.
    • Ensure each transaction using appropriate account code & analysis code
    • Prepare disbursement voucher, cash receive voucher and also general voucher.
    • Review and maintain petty cash transactions; ensure the transaction following procurement threshold procedures and should not more allowed limit.
    • Prepare bank reconciliation & cash count
  • Maintain the financial documentation; Ensure all document in finance are filling properly.
  • Other occasional tasks :
    1. Assist all staff in Belu/Malaka sub office if necessary, to provide guidance on how to making cash advance settlement or expense claims correctly.
    2. Conduct payment or EBT for any relevant payment to staff and or to vendor in office.



      Admin Area ;
  • Close coordination with admin & logistic team to maintain simple database for tracking payable, incoming bills & also Receivable; Bi - Weekly reconcile simple database to avoid miss incoming bills or invoicing.
  • Collecting, processing for payment and filing all invoice from vendor
  • Responsible for maintaining Filling system orderly including all letter in and out
  • Assist in administrative work i.e. photocopy, printing, data entry, etc.
  • Maintain filing system orderly
  • Travel throughout the project areas as required.
  • Provide other project support requested by supervisor.
  • Provide other administrative and/or finance tasks as requested by supervisor.
  • Provide assistance on collecting supporting document of expense claim, procurement documents.

QUALIFICATION
  • 2 years experience in financial and administrative management
  • Experience in financial, accounting or administration in a project
  • Ability to work in a multi-cultural team
  • Excellent communication skills in English & Bahasa Indonesia
  • Have a good attitude and easy to coordination with other staff
