Supervisor (s)/other technical staff in the Programmes may provide specificinstructions/guidance as necessary, particularly in relation to technical correspondenceand non-general matters. HR Rasuna Said Blok X‐5 Kav. 4‐9, Jakarta 12950, Tel.: 6221‐5204349 (hunting) / Fax.: 6221‐5201164WHO has a smoke-free environment and does not recruit smokers orother tobacco users.MAIN DUTIES TO BE PERFORMED:Under the direct supervision of Scientist- Environmental Health Advisor and overallguidance of WHO Representative (WR), the incumbent will:(1) Provide administrative and clerical assistance to the technical units, Technical Officersand team members of Food Safety, Environmental Health and Non CommunicableDisease Pogrammes including assistance in tasks related to coordination with governmentcounterparts for activity-proposal planning and implementation.(2) Make travel arrangements for the direct supervisors (including staff from WHO CountryOffice (WCO) team), HQ or Regional Office for national and international duty travels. Alsoassist in processing travel arrangements and payments to the Government participantstraveling abroad through WHO invitations and support.(3) Make necessary arrangements for meetings being conducted through or in WCOincluding logistics, conduct of the meeting, preparation of the minutes, distribution ofrelevant files/documents and filing both online and offline.(4) Assist in translating reports, documents’ summaries or letters from Bahasa Indonesiato English and vice versa as and when needed by the team leader or within theProgramme Areas.(5) Review APW, DFC, or other contract proposals received from government and otheragencies for WHO support ensuring conformity with WHO contract formats, prevailingrates and amounts in item-wise estimates for services and procurement requests;including preparation of office in-house administrative documents, GSM submission,record-keeping (online, offline) and monitoring of the proposals, contracts and paymentsensuring timely disbursement of payments to the parties within the contract.(6) Assist through GSM and other official procedures in preparing, revising and updatingproject technical and financial reports for processing online and offline, tracking forpayment, availability of funds and liquidation of funds, monitoring and evaluation of projectactivities and outputs.(7) Replace other support staff in other technical units within WCO as required/duringabsences.(8) Undertake any other activities or assignments as and when directed by the ProgrammeTeam Leader or WR.EDUCATIONAL QUALIFICATIONS, EXPERINCE, ETC.Competencies: 1.
