Oxfam Indonesia is recruiting a Reporting Officer who will support and
build the capacity of programme teams on writing and on-time submission of
internal and external reports. Produce various reports from the management
information system and ensure the quality of data entered in the system.
Support to Country Management Team to prepare various management reports
and strategy documents. She/he will directly report to Programme
Development and Funding Coordinator (PDFC).

Purpose In a team of raising funds for Oxfam's program in Indonesia and
maintain good quality and consistent relationships with donors and all
Oxfam affiliates, you will be supporting other program teams to produce
clear and quality reports (financial and narrative) those demonstrate good
accountability and gender neutral information and ensure on-time quality
and compliant reporting to donors.

Dimensions

Produce clear and quality reports (financial and narrative) those
demonstrate good accountability and gender neutral information. This
includes editing re writing reports in both English and Bahasa
Indonesia.
Providing advice or specific skills to team on report writing and
capacity building.
Collate information from a defined range of sources (external or
internal).
Deals with various levels of people on internal ways of working on
reporting.
Working under pressure with multiple tasks and completing tasks on time.
Representation of Oxfam in external relationships specially partners.
Deals with problems which may be repetitive and complex and
understanding of complex financial information.
Knowledge of programme logic and the MEL standards in both Humanitarian
and Development context.
Strong commitment to Gender Justice.

Key Responsibilities

Preparation of Reports. Support the programme team to produce good
quality reports case studies and learning documents. Compile information
from various sources and produce comprehensive reports. Cross check
compliances as per the donor reporting requirements and timely
submission. Coordinating with project managers and MEL coordinator to
ensure the quality of reports and timely submission.

Proposal Development. Support to Programme development and funding
coordinator PDFC and programme team in writing high quality concept
papers, programme proposals and budgets which are successful in securing
funding from a variety of donor agencies.

Contract Management. Provide advice to programme staff on the funding
policies and reporting requirements of different donors. Maintain high
quality documentation system as per the contract management
requirements, update as it is necessary.

Partner capacity building. Support programme staff to build the partner
capacity on report writing and maintaining a database for partner up to
date.

Administration. Ensure the Oxfam’s Programme management information
system (PeopleSoft) and shared files accurate and up-to-date at all
times; understand and be able to advise programme staff on how to use
the programme management system (PeopleSoft) effectively. Train the
new staff on technical use of Management information system

Skills and Competence
Essential
• High quality written and spoken English language skills to write high
quality reports.
• Ability to work effectively with others influencing, supporting,
informing and following as required in order to achieve the targets.
• Information management and IT skills with good attention to detail in
order to develop and analyse donor budgets and financial reports; and to
develop / maintain, and give guidance on electronic and manual contract
management and reporting systems,
• Ability to analyse information by using different e tools and
prepare good quality reports/ presentations/ materials
• Effective oral and written communication skills and interpretation
skills (English- Bahasa - Indonesia)with a wide range of people working
in different situations
• Commitment to the principles of gender and diversity, demonstrable
cultural sensitivity.
• Able to work independently, set own work plan, meet tight deadlines
and balance competing priorities
• Willingness to undertake frequent travel and work flexible.

• Gender knowledge and cultural sensitivity with a strong commitment
and understanding of the values and principles of Oxfam.

Desirable
• Understanding of INGO programming and Donor relations with at least 2
years experience
• Experience in working with Donors such as DFAT Australia, European
union and ECHO.
