Business Support Services Officer
1 ( one ) position, 1 year contract - renewable - Jakarta
Purpose of job:
To
assist the Business Support Services (BSS) team with professional and
reliable support in the achievement of British Council Indonesia’s
objectives in the areas of support services.

British Council employs about 2,000 people in East Asia working on its cultural relations goals in 14 markets.
British
Council Indonesia is one of the key markets in East Asia and our
operations are expanding rapidly to meet the growing business
opportunities in Jakarta and elsewhere across the country. The operation
currently has a vibrant programme of cultural activities focussing on
education opportunities, the arts, and the english language.
The
British Council Indonesia Foundation located in Medan, North Sumatra
runs as the British Council’s subsidiary in June 2014.There is a small
examination services business expected to grow rapidly and we are
looking into the possiblity of opening the English language teaching
business. We currently employ 48 staff.
Reporting
to the Business Support Services Manager, the job holder will be
accountable for specific aspects of the support services area.
Accountabilities, responsibilities and main duties (including people management and finance):
· System processes including SAP.
· Follow
up Purchase Order (PO) creation in SAP in timely manner and ensure that
the invoice, good receipt and payment are done in timely manner by
coordinating with related units.
· Procurement and vendor process.
· Facility and premises
maintenance for office and UK staff residences.
· Contract
and lease management. It includes to maintain contract database, keep
tracking the expiration of contract, and follow up with vendor.
· Logistics.
· Filing Management for support services area.
· Fixed asset and inventory management of office and UK staff member.
· Formalities for office and UK and expats’ staff
members.
· Line manage, support, and develop outsourced cleaners, driver, and security guards.
· Staff and visitors’ travel and accommodation
Key relationships: (include internal and external)
· BC Indonesia Finance Team and other Programme Teams
· Business Support Services Manager, Director BSS and
Senior HR manager
· Vendors & suppliers
· Officers in Ministry of State Secretariat
· Officers in the office Building Management
· Related Indonesian government bodies, such as Immigration, Police, and Custom
Other important features or requirements of the job (e.g. travel, unsocial/evening hours, restrictions on employment etc.)
May
involve unsocial hours when required, possible travel to parts of
Indonesia to assist programmes/projects, some possibilities to travel to
South East / East Asian Countries for regional meetings and trainings.
