The USAID project Prioritazing Reform, Innovation and Opportunities for Reaching Indonesia’s Teachers, Administrators, and Students (PRIORITAS) is focussing on capacity building and
quality improvements for teacher
training institutions (TTI) and for non-academic, pre-service teacher training providers. PRIORITAS is
building the capacity of schools and MoEC, MORA
national, provincial and district offices together with pre- and in-service teacher
training organizations to coordinate,
plan and train.

the position
Office Manager
This position will be based in Jakarta.
The Office Manager's
responsibilities will include:
- Work under and report to Operation Manager to manage the office and oversee day-to-day administrative tasks. This will include managing the administration including: office assistant, security and drivers.
- Respond to all requests from National staff and Provincial Staff.
- Liaise with project partners in government, non-government and private sectors
- Liaise with specialist staff and Provincial Coordinators to ensure that requests for administrative support are responded to appropriately and that administration and support staff are able to manage workloads and commitments effectively and efficiently
- Support the COP and DCOP in scheduling activities, appointments, and meetings, and ensuring that logistical and administrative supports are provided for all scheduled activities.
- Be responsible for overall completion of all administration and support tasks in the National Office. This will include:
- Management of admin staff team
- Scheduling responsibility as required by management
- Preparation of business letters, reports and other documents
- Recording of notes via dictation or meeting minutes
- Record keeping, file maintenance and general office organization
- Arranging, attending and contributing to internal meetings
- Other administrative and management duties as required.
- Any other duties that may be assigned by Operation Manager
Qualifications:
Sound
knowledge and experience in administration and office management for USAID or
similar projects. At least 4 years previous
experience in a similar position is required. Knowledge of RTI and/or USAID
systems preferred.
- Professional approach to work activities and high level competence in office setting. Good work ethic and strong desire to complete tasks in a timely manner as directed
- Demonstrated ability to manage a team, to generate work schedules and work-plans, to delegate and monitor task completion, to establish and maintain working relationships with supervisor and Project staff.
- High level communication skills.
- Ability to liaise effectively with government officials and representatives of the NGO and private sector at a high level.
- Familiarity with protocols for liaising with government.
- Ability to appreciate international diversity and to establish effective working relationships with international clients.
- Ability to communicate effectively with staff, including mentoring, supervision and conflict resolution skills
- Ability to prepare a variety of business letters, reports and other documents in both English and Indonesian.
- Skilled with standard Microsoft Office packages. Ability to learn to work with new software as required.
- Strong logistics management and administration skills are required.
- Ability to effectively organize, prioritize work assignments, and work well under pressure and high stress tolerance
- Ability to work independently and as a team member
