Yayasan Plan International Indonesia is presently implementing its Country Strategy 4 (CS 4) covering fiscal year 2017 to 2022, where the country objective has been defined as “to identify and facilitate the removal of obstacles that prevent children from enjoying their rights and participating fully in Indonesian society”. This goal will be achieved by providing technical support and implementing quality programs and projects through partnership. An effective and efficient communications strategy is a must for Plan Indonesia to share the outcomes of these projects to influence different actors, specially state authorities and to position Plan’s profile within and outside at different levels – starting from community, sub district, district to national, regional and international levels.
Yayasan Plan International Indonesia is looking for  dynamic staff  to be based in Jakarta  for the position:
 
Finance and Admin Officer (Contract Based)
 
Responsibilities:
Key End Result 1 General Management : Assists the Project Manager in the management of Project operations. Provides relevant updates to the Finance, Administration & Operations of Youth Voices for Girls’ Rights and Gender Equality Project, raises important issues and concerns as well as legal aspects of Field operations. Liaises with other NGOs, agencies and third parties in the Field in relation to financial and administration activities as deemed necessary..  Maintains communication flow with Country Office to ensure documentation and follow-up on pending Field financial issues.  Overall supervision of the operations of finance and operations unit in the Field. Performs miscellaneous job-related duties as assigned Key End Result 2.  Planning and Budgeting Manage the preparation of the project budgets.. Forecast cash flow positions. Monitors cash flow, prepares fund request to facilitate monthly transfer of funds needed by the field.   Monitors financial performance of the field in terms of set budgets (operating expenses, grants, etc.). Prepares/reviews and analyses budget monitoring reports, gives advice to the rest of the Project Manager and team to take corrective actions, as appropriate. Key End Result 3 Payment Processing Processes and facilitates all payments or fund transfers. Ensures that expenditures are authorized and approved, and supported by adequate documentation. Ensures that Plan International Indonesia funds are utilized and accounted for based on generally accepted accounting principles and Plan International Indonesia standards. Keeps custody of the petty cash fund, prepares petty cash fund replenishments. Checks payment requests against approved budget lines.   Follows-up acquittal or liquidation of advances and ensures no advances are given unless the previous advance is acquitted/ liquidated. Key End Result 4 Accounting/Reports   Ensures that financial transactions are properly inputted in the SAP application/system. Ensures that transactions are properly coded, and if applicable, expense allocations are properly made. Ensures timely completion of the transaction records, sends to Country Office on the day after the closing date. Prepares various financial reports and analysis required at/from the Field. Ensures that accounting records are properly maintained and documents are properly filed  Ensures that Field Office expenditures are valid and in line with approved budgets. Obtains explanations for / investigates variances. Key End Result 5 Administration Oversees and administers the day-today activities of the office; follow the policies, procedures, and systems of Plan International Indonesia which ensure productive and efficient office operation. Organize and facilitates meeting, conferences and other special event; coordinate and attends meeting, and participates in discussion as appropriate.  Assist Project Managing on preparing letters, contract, agreement and other document as needed by the project based on Plan International Indonesia policies. Key End Result 6 Procurement and Logistics Ensures that Plan International Indonesia and donor procurement policies are implemented in the field Coordinates with the Country Office the project office’s needs, and any issues and actions involving HR, Admin and logistics. Key End Result 7 Others Together with CO Admin staff, conducts assets inventory and physical count. Participates in project staff meetings, performs other tasks that may be assigned by the Project Manager and other working relation on Country Office.
Requirements:  Knowledge and Skill 3-5 years experienced in finance and administration.  Skill in budget preparation, implementation, tracking and analysis, and reporting.. Ability to gather data, compile information, and prepare reports. Records maintenance skills. Knowledge Knowledge of general accounting principles Knowledge of administrative policies and procedures as applied to public institutions Key Competencies Team Work, Planning and organizing, Communication skills Attitude/Sikap : High integrity , Highly committed to community development. Range Salary : IDR 5 025 769,  - 7 000 000,-
