ICED II Vacancy (Internship): Contact Database Administration, Based in Jakarta, Fulltime

Project Description
The Indonesia Clean Energy Development (ICED II) Project is a sixty (60) months project funded by the USAID (United States Agency for International Development) and implemented by Tetra Tech ES, from May 2015 through May 2020. The purpose of USAID’s Tetra Tech is to assist the Government of Indonesia in establishing an effective policy, regulatory and incentive environment for low-emission growth in the energy sector, while simultaneously attracting public- and private-sector investment in clean energy development.
Position Description
Contact Database Administrator Intern
USAID ICED II has an immediate opening for one final-year student or fresh graduate with excellent database skills to support the communications team. This position will develop contact database of the project and liaise with different technical staff to obtain the contacts. This position reports directly to the Technical Writer and Reporting Specialist.
Roles and Responsibilities:
·         Collect name cards and other forms of contacts from the technical staff and project server.
·         Compare and consolidate old contact database with the new one.
·         Scan and transfer physical name cards into digital version using a card reader..
·         Convert scanned name cards into Microsoft Excel document.
·         Develop Microsoft Excel contact database.
·         Develop Microsoft Outlook mailing list based on the consolidated contact database.
·         Check and verify all contacts to avoid double entries.
·         Ensure contacts consistency and level of completeness.
·         Liaise with Administration Unit of the project and the technical staff.

Key deliverables
             Contacts database in Microsoft Excel format.
             Address book(s) in Microsoft Outlook format.
             E-mail list(s) in Microsoft Outlook format.

Key qualifications:
             Final year students or fresh graduates in Business Administration, Library, and related studies.
             Computer savvy, especially MS Excel and MS Outlook.
             Diligent.
             Attention to details.
             Ability to work independently.
             Ability to follow deadline.

Timeline
             April-July 2018.
