GGGI is looking for a Program Assistant - Administration


The Global Green Growth Institute (GGGI) is a treaty-based international, inter-governmental organization dedicated to supporting and promoting strong, inclusive and sustainable economic growth in developing countries and emerging economies. GGGI’s role and objective in Indonesia is to assist the Government of Indonesia in delivering green growth by driving investment and designing green projects with social, environmental and economic benefits for the people of Indonesia.

Program Assistant - Administration

The Assistant is responsible for collecting program data and maintaining a data repository; compiling program documents and organize archives (SharePoint and/or e-library); in charge of proper implementation of logistics and administrative procedures, office supply procurement and physical asset management of the country office operation.

PURPOSE

The Assistant plays the role of data, asset and logistics focal to multiple GGGI offices and workspaces across the different ministries and in two provinces by maintaining a data repository and document archives, an asset inventory and implementing logistics procedures
Supports procurement and recruitment related activities

ENGAGEMENT

Support Country Team and consultant on the procedures, policies and tools of travel, workshops and other administrative arrangements;
Explain logistics procedures and requirements for external partners who participate in GGGI workshops and meetings
Coordinate with travel agent regarding Travel Summary Report   

DELIVERY

Generates and maintains an up to date program data repository of the country program by compiling, cleaning, sorting out and calibrating all program related data
Compile and file all program related documents for document archives (inventory, library) both electronically (on share point) and as hard copies
Support program activities with preparation for, or processing of, meetings or workshops.
Supports in the preparation of internal coordination meetings
Manage office facilities
Provides logistics arrangements with respect to workshops and meetings
Provides general support to the program activities where necessary
Any other administration support as needed in support of Operational Manager and Country Representative.
 

QUALIFICATIONS

A Bachelor degree in economics (management minor), environmental management or natural resource management, international development, sustainable development or other related topics.
1-2 year of work experience would be an asset
A passion for green and/or low carbon development
Strong oral and written English, and fluency in Indonesian is essential
A pro-active attitude, with an ability to innovate in finding solutions
Highly organized with a keen eye for detail and the ability to multi-task
Ability to work under pressure and meet tight deadlines
Strong interpersonal skills and the ability to work with multi-cultural and multidisciplinary teams
Good level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.), as well as Enterprise Resource Planning (ERP) or similar software
Strong oral and written English, and fluency in Indonesian is essential
Experience / knowledge of sustainability is an asset
