The Coral Triangle Initiative on Coral Reef, Fisheries and Food Security
(CTI–CFF) is a multilateral partnership of six countries working together to
sustain the region’s rich marine and coastal resources. The
CTI-CFF is managed through a Regional Secretariat based in Manado, Indonesia.
The Regional Secretariat is mandated to promote
regional cooperation, sharing of lessons, and facilitate learning across the
six Coral Triangle (CT6) countries. The Regional Secretariat also coordinates
and monitors the progress in achieving the CTI-CFF Regional Plan of Action goals. Its main activities
cover the following areas: organizational development, outreach and
communication, regional coordination and mechanisms, technical and thematic
working groups, development of key regional reports, and capacity development.
It also serves as the main liaison and for all CTI-CFF official functions such
as the biennial CTI-CFF Ministerial Meetings and the annual CTI-CFF Senior
Officials Meetings.
In response to provide the necessary
functions required to effectively support the implementation of protocol
management and convention activities to help strengthen the
operations and implementation of the CTI-CFF practices, the
Secretariat needs additional resource and seek for a qualified individual for
the following position as :
Protocol
& Convention Services Manager ( PCSM
)
Under the supervision of Sr. Manager of Finance and
Administration, this position will be specifically addressing the application of standard
protocol management rules in international organizations for the Secretariat.
Job Illustration:
·
Ensure
procedures for the implementation of CTI-CFF meeting in accordance with the
rules of standard system and proper protocol in international organizations;
·
Ensure
that CTI-CFF's annual / biennial meetings (i.e. SOM and MM) are conducted
regularly and in accordance with the CTI-CFF Regulations;
·
Prepare
and organize knowledge products and other collateral materials to be used for
the principal organs meetings (i.e. SOM and MM);
·
Ensure
the design and proceeding of CTI-CFF meetings are in accordance with protocol
and standard of international organizations;
·
Receive
and respond to correspondences in accordance with proper protocol and comply
with international organizations;
·
Prepare
and manage administrative substances (e.g. letters, speeches and agendas,
correspondences, schedule matters, etc.);
·
Liaising
with the Executive Director in the preparation of meeting agendas;
·
Observe
and prepare documentation related to the Regional Secretariat administrative
and activities matters;
·
Provide
suggestions and opinions including but not limited to the letters, agreements,
MoU, and publication materials as required by the Regional Secretariat in
general;
·
Provide
advice and support as may be required by the CTI–CFF Regional Secretariat, i.e.
preparation of reports, presentation materials, decision documents, and the
like;
·
Managing
the production and dissemination of correspondences to update the CTI-CFF, and
Executive Director in particularly;
·
Responsible
for review of monitoring and evaluation results to identify challenges and
determine course corrections as needed;
·
Perform
special assignments as assigned by the Executive Director or Deputy Executive
Director of Corporate Services, including but not limited to planning,
meetings, internal and external correspondences, documentation, etc.;
·
Provide
advice to senior management on the institutional frameworks and mechanisms for
ensuring appropriate and effective approaches; and
·
Participate
in conventions and meetings which linked to CTI-CFF and Regional Secretariat
and represent the Organization at national and international levels as
required.
Requirements:
·
A graduate level degree or higher in Economics, Management, International
Law or International Relations;
·
A minimum 5 years of extensive knowledge and good understanding of
protocol and convention services in multilateral organizations, multicultural
and multi-disciplinary environment;
·
Extensive
experience and competency
in conducting and implementing the high-level convention with regional and
international governments, institutions, and organizations;
·
Having
modest experiences at the diplomatic affairs is highly desired;
·
Ability
to advocate for and promote the protocol management concerns, and the
sustainable of general communication protocol management to support the
Secretariat’s proper functions and services of the CTI–CFF;
·
High
proficiency in both spoken and written English is a must;
·
Well disciplined, able to cope in
potentially stressful situations, self-motivated and positive attitude with
customer-oriented minds.

· Type of Employment is Contract-basis with duration

satisfactory performance and the mutual agreement between the candidate and the
Regional Secretariat;
