JOB PURPOSE
Under the authority of the Country Finance Manager
OBJECTIVES
1. Manage all cash and bank transactions for ACTED’s Jakarta office
2. Centralize and consolidate all administration and HR processes of ACTED Indonesia
DUTIES & RESPONSIBILITIES
1. Cash Management
a. Daily basis
1. Filling of voucher(s) & registration of voucher in cashbook;
2. Make payments for all items and services which have been approved by the Country Finance Manager
3. Safe
& Cashbook checking: at the end of each day, the cashbook and the
safe should be checked and the balance should correspond;
4. Money Exchange Dealing: whenever needed, change money for the cashbooks and register it in cashbook;
5. Money Transfer Dealing: registration and exchange of voucher reference between Country Office and area.
b. Monthly basis
1. At the end of each month, check the balance in the cashbook and in the safe and sign the cash checking statement
2. Check the quality of vouchers
3. Check cashbook and SAGA before closing the accounting month;
4. ensure the clearance of all advances for the staff, before paying the salary
2. Human Resource Management and Administration
1) Prepare all administrative/HR documents such as letters, internal notes, regulation etc;
2) Prepare vacancy announcements for national staff, receive all applicants’ CVs and draft candidates’ list;
3) Draft
employment contracts for national staff and collect all information
required for contract. (ID card, photos, identification information,
reference etc.);
4) Prepare, check and control staff presence and leave follow-up table and send on a monthly basis to HQ
5) Prepare, check and control monthly staff TITANIC, incl. payroll and send to HQ by latest 15th of each month;
6) Liaise
with tax authorities regarding ACTED tax / social security registration
and remittance of taxes/social security payments ;
7) Organize induction program for new staff members;
8) Maintain and regular update personal folders for all national and international staff;
9) Ensure that ACTED offices work in accordance with ACTED HR Manual and the labour law of the country;
10) Translate letters (English/Bahasa Indonesia) upon needs or requests.
