We have a vacancy for the position
of Head of Finance
We are an International NGO concentrating on conserving and securing the ecosystem of Bukit Tigapuluh in the Jambi Provenance of Sumatra, Indonesia.
The role is varied and requires a person who will work from basic bookkeeping all the way to producing year-end financial statements and Donor reports to International Government agencies.
The position is based at our office in Jambi City, Sumatra.
We are looking for a committed individual who views this position as a long-term opportunity.
After an initial two-year contract is completed, year three will see the position holder, visiting another FZS project area overseas or our Headquarters in Frankfurt, Germany.

The Head of Finance will report directly to the Indonesia Programme Manager and will closely co-operate with the grant coordinator and finance department in Germany, as well as Project Managers and staff in country.
Overall purpose of the job
The purpose of the job is to manage efficiently and transparently the financial resources, thereby supporting the FZS Indonesia Programme in its delivery of conservation outcomes and impact as per FZS strategy.
Main Outputs

An efficient and transparent financial management and
reporting for FZS and partner organisations.

Effective financial management systems in place and
operational across the FZS Indonesia Programme

Legal obligations in Indonesia met for FZS and partner
organisations.

Support to outpost projects on SOP implementation

Effective and motivated staff in the Finance and
Administration Department

Main responsibilities
Accounting
•
Ensure that prudent financial management practices are
followed and that the organisation’s assets
are accurately recorded and protected.
•
Ensure effective administrative and financial
management systems are developed and implemented to enable the FZS
programme/projects to produce accurate accounting information, to record all of
its financial transactions and to meet donor requirements, and that these are
operational across the programmes and projects of FZS Indonesia
•
Ensure that FZS-Indonesia
cash flow is efficiently managed by
requesting that funds are transferred into Indonesia and between bank
accounts to ensure that all expenses are paid when required.
•
Maintenance of the Fixed Asset Register and records for all FZS-Indonesia
assets.
•
The preparation and
oversight of annual accounts and the
annual audit within Indonesia, in
order to meet statutory Indonesian laws
an including submission of annual audit
report to HQ with explanatory notes
•
Ensure that staff payroll is processed accurately
and in a timely manner each month
•
Ensure all transactions
are booked to the Accounting system weekly.
Legal
& Risk Management
•
Ensure that the FZS Indonesia
and Programme and Projects’ statutory
filings in Indonesia are completed and lodged with the authorities in an
accurate and timely manner.
•
Contribute to ensuring
that FZS Indonesia’s legal obligations are discharged and that the organisation
maintains a prudent approach to financial and operational risk management.
•
Ensure FZS legal
obligations in Indonesia are met with respect to all financial, administrative,
taxation, legal and staff related aspects.
Management
of Staff
•
Line-manger of the finance team
Budgeting
& Planning
•
Manage the annual and ad hoc budgeting for FZS –Indonesia
/ individual projects
•
Develop with senior
management and the Regional Coordinator the future financial strategy and business planning for FZS in Indonesia
Reporting
•
Provide support to the
Project Leaders and other senior FZS staff by way of regular financial reporting and analysis on a monthly basis
•
Preparation of third party donor financial reports
•
Ensure contractual
commitments and expenditure reporting requirements to donors are met
Financial
Management
•
Provide support to
Programme and Project Managers, other FZS programme/project staff regarding
financial management
•
Analysis as requested.

Job requirements
a) Qualifications and experience - required
· Working towards or gained a professional accounting
qualification such as:
·
Association of Chartered
Institute of Management Accountants (CIMA) or
·
Association of Chartered
Certified Accountants (ACCA) or
·
Association of Chartered
Accountants (ACA) or
·
Chartered Institute of
Public Finance and Accountancy (CIPFA)
·
Association of
Accounting Technicians (AAT)
·
International
Association of Bookkeepers (IAB)
· 5 Year’s middle or senior financial management in
the commercial or not-for-profit sector
· Management consulting experience or experience
designing and implementing new management systems (e.g. financial, human
resource and/or administrative) in an organisation
· Exceptional interpersonal
and written, verbal and listening communication skills (excellent written and verbal
skills in English and Bahasa Indonesia)
· Proven understanding that the role of
administration and financial departments is to provide a support service for
the delivery of effective management (in this case conservation management and
outcomes)
· Commitment to providing high-quality, accurate and
timely information
· Ability to both think strategically and provide
manage detail on a daily basis to ensure operational excellence
· Experience of preparing and conducting audits
· Knowledge of electronic/online banking and
Microsoft Office with MS-Excel to an advanced level
· Ability to work to tight deadlines under pressure
· Able to work effectively with non-financially
trained professionals
· Knowledge of Indonesian law,
particularly labour, tax, NGO and environmental law
· Willingness to live and work in Jambi, Sumatra
· Ability to travel to project areas
in Sumatra, often travelling and living
under basic conditions in remote areas
· Experience working in an international
organisation or overseas
