The ICRC Regional Delegation in Jakarta seek to fill the following position: 

Logistics Assistant

(Resident Position, Jakarta-based)

 

 

Role Purposes

The Logistics Assistant is based in Jakarta and reports directly to the Logistics Country Manager. The Logistics Assistant will be responsible to provide technical and operational support for Jakarta and Dili office primarily in the areas of purchasing and import export but will also support other activities as an active member of the team.

 

Main responsibilities

Provide logistics support to the delegation’s activities in accordance with logistics standard, ICRC rules, financial procedures and regulations. This may include some or all of the following activities:

Purchasing (40 %)
  • Carries out small purchase in Jakarta and field locations as well as DIL Office as instructed and assist on bigger purchase;
  • Ensures correct purchasing and procurement with reference to ICRC procedures, rules and regulation including Financial rules and Code of Conduct are followed and fully implemented;
  • Update the inhouse system accordingly;
  • Liaises and coordinates with the Administration Department on financial issues;
  • Performs proper filling of all relevant documents concerning procurement in order to ensure full accountability and transparency.
  • Follow the lead of the PIC of the purchasing role.
Export – Import (30%)
  • Ensures correct Export Import with reference to ICRC procedures, rules and regulation including Financial rules and Code of Conduct are followed and fully implemented;
  • Submits the documents related to export / import clearance documents to the concern governments departmental (i.e. Min. of State Secretariat, Ministry of Foreign Affairs, Customs Office etc.);
  • Performs proper filling of all relevant documents concerning export and import in order to ensure full accountability and transparency;
  • Acts as the PIC for the role
Assist the log team as needed with any other tasks as requested with, but not limited to: (30%)
  • Transport organisation (planning, ordering, coordinating, liaise with other colleagues and departments, etc.) as well as performing the proper filling of all relevant documents concerning transportation in order to ensure full accountability and transparency.
  • Warehouse activities (assist with stock movement, packing, counting, inventory reports, administrative tasks, etc.).
  • Fleet Management Support & Office Activities (support the dispatcher function, drive, help with the updating of the files, translate during field visits, etc.).


Requirements
Background and Experience
  • Minimum Bachelor degree or professional school of similar level
  • 2-year work experiences in a similar field
  • Good command of written and spoken English
  • Good command in local languages
  • Good Computer Knowledge
  • Confirmed capacity to adhere to general ICRC procedures
  • Methodical Person
  • Handles specific logistics files independently
  • Implements and runs basic logistics procedures
  • Negotiates basic contractual matters with external interlocutors
