Econusa Foundation Vacancy: Administration and Operations Officer

The EcoNusa Foundation is a non-profit organization that aims to enhance various local initiatives of Tanah Papua at national and international levels in an effort to provide support for sustainable management of natural resources in Indonesia. The EcoNusa Foundation was established on July 21, 2017 in Jakarta.

PURPOSE OF JOB

Under the direct of Supervision of Operations Manager, the incumbent responsible for assisting the administrative processes, procurement and logistics needs of staff and organizations.


ROLES AND RESPONSIBILITIES

·        Perform data archiving, such as documenting incoming and outgoing letters, documenting and storing organizational documents including contracts with Donors and Partners.

·        Assist in the management of the organization's legal documents and their amendments.

·        Prepare outgoing letters such as: invitations, assignment letters, etc. according to staff and organizational needs.

·        Responsible to handle tickets, accommodation, meeting rooms, etc. and preparing timely payment documents to the financial unit in support of activities and programs for all work units at Econusa.

·        Prepare work contracts for facilitators, resource persons, consultants and coordinate with grant units for contracts providing with EcoNusa partners.

·        Collect and identify requests for procurement of goods and services from staff and ensure the requirements have been met according to the Procurement SOP under the supervision of the Operations Manager.

·        Contacting vendors/suppliers to make offers/comparisons of goods and services and prepare analysis documents of goods/services offerings appropriately under the supervision of the line manager.

·        Create and update a database of vendors that work with Econusa.

·        Assist in preparing logistical needs for the organization's internal meetings (staff meetings, management meetings, supervisors and supervisors, and other internal meetings).

·        Coordinate and support inter-directorate work activities under the supervision of line managers

·        Perform such other duties as may be assigned.


QUALIFICATION AND EXPERIENCES

 

·        University degree from an accredited academic institution in Administration, Secretary, Management, or related.

·        Work experiences in the field or administration at least 3 years

·        Able to speak passive and active English is a plus

·        Accustomed to handling secretarial, logistics and administration

·        Quickly adapt in the work environment and communicate well

·        Able to work with multitasking

·        Willing to travel


WORKING RELATIONSHIP

Internal            : work closely with Operations team and all staff

External            : work with external party (vendor, consultant, etc)
