Vacancy Announcement "Senior Program Support Officer"

The Wildlife Conservation Society - Indonesia Program (WCS-IP) works in several large landscapes and seascapes in Sumatra and Sulawesi across the Indonesian archipelago where it aims to protect threatened species and their habitats. To achieve its overall goal of saving wildlife and wild places, the WCS-IP programs prioritize field activities that seek to build local partner capacity, halt the poaching and illegal trade of wildlife, reduce the overexploitation of wildlife in legal trade, mitigate human-wildlife conflicts, and monitor and sustain the health of wildlife populations.

In addition to field activities inside protected areas, WCS-IP is pioneering a set of new approaches to tackling other threats to our forest- and seascape. These approaches include the development of conservation enterprises, exploring production/protection partnerships with the private sector to support conservation outcomes, and major multi-partner initiatives that seek to make systemic changes to whole supply chains around protected areas. There are also opportunities for WCS-IP to explore new entry points for conservation dialogue, for example with extractive industries and the health sector.

To support the implementation of these approaches, WCS is seeking a Program Support Senior Officer. He/she will support the Sustainable Landscape Program Unit to ensure the administrative and finance operations are maintained in an effective and efficient manner.

POSITION OBJECTIVES

The Program Support Senior Officer shall assist the Sustainable Landscape Program Manager in executing and managing the project, with the primary focus on administrative, financial, and operational aspect of the project.

RESPONSIBILITIES

1. Administrative, financial, and logistic

  • Assist the Sustainable Landscape Program in Aceh, Lampung, Bogor and Sulawesi with day-to-day administrative matters.
  • Support in partners and consultant arrangement such as TOR, contract, and payments.
  • In close coordination with Finance Unit prepare payments for partners and consultant under Sustainable Landscape Program.
  • Support in meetings and events preparation such as assist in developing TOR and budget.
  • Arrange the overall logistical preparations related to meetings and travels.
  • Make the necessary arrangements for ticket and accommodation according to applied standards and template.
  • Assists in verify data and check finance documents for completeness, accuracy, and consistence.
  • Support Sustainable Landscape Program member in reviewing expenses report
  • Support Sustainable Lanscape Program for office and vehicle management in Bogor, Aceh, Lampung and Sulawesi

2. Operational project

  • Support the Sustainable Landscape Program Unit to liaise with relevant government and non-government key- stakeholders.
  • Maintaining and updating record of communication and meetings of Sustainable Landscape Program Unit held within and outside WCS-IP;
  • Developing and updating list of contacts and partners
  • Support and provide regular report as needed such as weekly update, monthly, and quarterly report both narrative and financial.
  • Assist Sustainable Landscape Manager to prepare any presentation and relevant publication materials related to the Sustainable Landscape Program work.
  • Assist Sustainable Landscape Program Manager to monitor and manage the Sustainable Landscape Program Unit related partners and consultants in ensuring their deliverables and reporting.
  • Assist Program Manager to process recruitment administration for contract employee, consultants, and enumerator

3. Program Management

  • Coordinate with Senior Coordinator in Bogor and Landscape Coordinator in Aceh, Lampung, and Sulawesi to develop annual workplan, budget and activity in each landscape.
  • Assist team members in Aceh, Lampung, and Sulawesi for logistical aspect such as annual rental for home office, motorbike, etc.
  • Assist PM to track budget spending and absorption in each landscape.
  • Coordinate with PM for budget reallocation when necessary

REQUIREMENTS

  • Minimum 5 years of administrative management experience
  • Bachelor’s degree in administration, English literature, or equivalent experience in a similar position with an NGO/INGO or Private Sector
  • Computer skills mandatory. Proficient in Microsoft Office Application
  • Good administrative/office management skills
  • Interpersonal skills, solid programming, financial and organizational development skills and excellent analytical and financial skills
  • Strong analytical and interpretative problem solving skills
  • Able to multi task, establish priorities and meet deadlines
  • Able to work with minimum supervision
  • Good oral and written communication skills in English
