Urgently Required: Senior Grants and Contracts Officer for Oxford University Clinical Research Unit Indonesia (OUCRU Indonesia)

As of September 2022, the Oxford University Clinical Research Unit in Indonesia (OUCRU Indonesia) operates in partnership with the Faculty of Medicine Universitas Indonesia after having been known as the Eijkman Oxford Clinical Research Unit (EOCRU) since 2008. OUCRU Indonesia is part of the Africa Asia Programme Vietnam, sponsored by the Wellcome Trust, and governed by the Centre for Tropical Medicine and Global Health at the Nuffield Department of Medicine, University of Oxford, United Kingdom. OUCRU in Indonesia and Vietnam, along with their many local and international partners, conduct biomedical, clinical, and epidemiological research on infections impacting the health of people living in Southeast Asia and beyond.

 

In conducting their work in Indonesia, OUCRU ID is assisted by Alliance for Emerging and Re-emerging Disease Threats in Asia Foundation (ALERTAsia), a local foundation assisting in research grant management and capacity building for local researchers.

 

Through ALERTAsia we are seeking a qualified and experienced Senior Grants and Contracts officer to manage grants, contracts and fellowship from a wide range of international funders responsible for supporting and assisting researchers (and others), of varying nationalities and at various stages of their careers, to find funding opportunities and apply for grants and fellowships, as well as to support many kinds of research contracts related to these grants. Each year, the Programme processes approximately 50 new applications and contracts, each of which has its own forms, processes, standards, criteria, eligibility etc. OUCRU Indonesia processes an average of 15 new applications per year, and currently has 22 active grants. This position will be supervised by the Director of OUCRU Indonesia, with additional supervision and support from OUCRU Programme Grant Manager.

 

Responsibilities:

1.     Team Leadership:

·        Contributing to training and supporting local research support team members at OUCRU Indonesia.

·        Acting as first point of contact for technical queries for research support teams at OUCRU Indonesia, as well as OUCRU Indonesia Principal Investigators.

·        Contribution to management reporting on metrics about OUCRU Indonesia’s grants work and impact.

·        Contribution to internal policies and procedures related to grants management.

2.     Working with, and supporting OUCRU Indonesia research staff in the compilation and submission of grant applications (pre-award grants support).  This work will include but isn’t limited to:

·        Searching for new funding opportunities.

·        Establishing eligibility.

·        Checking application criteria.

·        Proof-reading and editing.

·        Ensuring funder requirements are met.

·        Leading on the compilation of budgets and costings.

·        Submission for internal approval.

·        Submission to funder.  

·        Liaison with OUCRU Programme grants team and Oxford University Research Services and the Centre for Tropical Medicine and Global Health grants team as appropriate.

3.     Contract Management:

·        Supporting OUCRU Indonesia Principal Investigators for all kinds of research contracts including funding contracts, subawards, consultancies, clinical trial agreements, collaboration agreements, MTAs and other kinds of agreements as required.

·        Maintaining the OUCRU Grants Contracts Registry for OUCRU Indonesia research contracts.

·        Liaison with Oxford Research Services and Centre for Tropical Medicine and Global Health contracts teams.

·        Workflow control – ensuring that contracts are monitored and supported throughout the development phase, and acting as a single point of contact for Oxford, OUCRU, the Principal Investigator, the Funder and any external stakeholders.

·        Support in the development of proposal costing and pricing.

·        Ensuring that contract terms and conditions are acceptable to Oxford, OUCRU and the Principal Investigator.

4.    Filing and document management:

·        Maintaining the grants database.

·        Maintaining files and records on the Grants server for all applications and awards.

·        Updating and maintaining One Note files for awarded grants and contracts.

5.    Assistance with post-award grants support. This work will include but isn’t limited to:

·        Working with the OUCRU finance team to ensure appropriate financial grant and contract set-up on both Oxford and OUCRU finance systems,

·        assistance with queries on financial and progress reporting as required,

·        assistance with any post-award re-budgeting, ensuring that grants terms and conditions are maintained,

·        assisting in obtaining extensions (costed and non-costed) and closing grants,

·        filing submitted reports.

6.    Other tasks supporting grants management within OUCRU Indonesia. This work will include but isn’t limited to:

·        Continuous evaluation and improvement on systems and processes.

·        Providing training support for operational staff as well as OUCRU researchers and students.

7.    Contributing to international grants community discourse through community of practice.

 

 

Job Requirements:

·        Bachelor’s degree in a related field and/or equivalent work experience.

·        A minimum 3-5 years of experience in Grant Management or related position.

·        The ability to relate to staff at all levels.

·        Presentation skills.

·        A commitment to developing skills and knowledge.

·        Excellent spoken and written English and Bahasa Indonesia.

·        Attention to details and being highly organized.

·        Highly computer literate with proficiency in MS Office and related business and communication tools.

·        Knowledge and experience of corporate grant management techniques would be advantageous.

·        Adept with a variety of grant management platforms and methods.

 

 

Benefits:

The selected candidate will initially receive a 12 months’ contract with a possibility to receive a contract extension. Remuneration package that includes annual leave, sick leave, THR, compensation money, optional private medical cover, BPJS Kesehatan, and not to mention fully paid income tax and BPJS Ketenagakerjaan (JAMSOSTEK). The salary shall be competitive.

 

The successful candidate will work in a dynamic team of clinicians, academics, scientists and research support teams from diverse renowned, international centres.
