DESCRIPTION
JSI Research &
Training Institute, Inc. (JSI) is a public health management consulting and
research organization dedicated to improving the health of individuals and
communities throughout the world over the last forty years. JSI is currently
seeking an outstanding Administrative and Human Resources (HR) Assistant in
Indonesia for a portfolio of activities on the Country Health Information
System and Data Use (CHISU) global cooperative agreement funded by the United
States Agency for International Development (USAID). CHISU is a 5-year program
designed to enhance host country capacity to produce high-quality health
information, to optimally manage this information, and to institutionalize
evidence-based decision-making. In Indonesia, CHISU is working with the Center
for Data and Information Technology (Pusdatin), Digital Transformation Officer
(DTO) and other health directorates to strengthen governance enabling
environment for HIS, increase interoperability of information systems, improve
data analysis and use, and strengthen organizational development of local
partners.
The Administrative and HR Assistant must demonstrate depth and breadth of
administration expertise to support a complex, fast moving project environment,
as well as possess interpersonal skills and be able to leverage professional
relationships towards the success of CHISU’s activities. The Administrative and
HR Assistant will provide support to the project technical and management teams
to assist in the efficient implementation of CHISU Indonesia operations and HR
activities. The Administrative and HR Assistant works closely with the Project
Officer, Administrative Officer and Sr. HR Specialist and will report to the
CHISU Finance & Administrative (F&A) Manager in Indonesia.
This is anticipated to be a full-time position based in Jakarta, Indonesia.
RESPONSIBILITIES
- Coordinating as the Person in Charge (PIC) at certain project events, to secure all the event requirements and assure the events are running well including coordination with external parties for the venue, banner, activity documentation, and attendance list.
- Supporting the Project Officer and Administrative Officer, working closely to assist in the following project activities: event planning and logistics, including vendor payments and documentation; arranging domestic and international travel; recording inventory and filing records for inventory management and; other administrative tasks as assigned.
- Working closely with Senior HR Specialist, assist in the following project activities: assist on the recruitment process until the candidate is ready for the contract signing; assist on Health Insurance Claims and as the point of contact related to health insurance for all CHISU Indonesia staff; support file management for human resources; other HR support tasks as assigned.
- Responsible for administering certain finance tasks such as staff advances and office petty cash to support all office support needs.
- Other duties in line with the overall focus of the position, as assigned by the Finance & Administrative Manager.
QUALIFICATIONS
- A Bachelor’s degree and a minimum of 2 years work experience in the field of management, finance, HR, international development, or business, including relevant in-country experience.
- Ability to work independently with minimum supervision in a fast-paced environment is required.
- Excellent written and verbal communication, analytical, decision making, problem solving, and administrative skills are required.
- Excellent organizational skills and high attention to detail are required.
- Demonstrated ability to maintain confidentiality when working on HR-sensitive assignments.
- Proficient with Online Tools such as Google Workspace (Docs, Sheets, Slides, Meet, Drive), Slack, and Microsoft Office.
- Native/Fluent Bahasa and practical knowledge of English are required.
Salary commensurate with experience.
