Research Domain: Forests and Climate Change Mitigation

Forests & Livelihoods ProgrammeThe Center for International Forestry Research advances human wellbeing, environmental conservation and equity by conducting research to inform policies and practices that affect forests in developing countries. We are one of 15 centres within the Consultative Group on International Agricultural Research (CGIAR). Our headquarters are in Bogor, Indonesia, and we have offices in Asia, Africa and South America.CIFOR is looking for a SecretaryTwo of CIFOR’s six strategic research domains are: 
Enhancing the role of the forests in climate change and enhancing the role of forests in adaptation to climate change. The Forests & Livelihoods Programme contributes of each of these strategic research domains. The Secretary will provide administrative support to the Component 2 Leader. The Secretary will also work closely with the Project Assistant Domain 1 and other Component 2 members.

Duties and responsibilities

Develop contracts with partners and collaborators in close consultation with the project Manager and Project Assistant and liaise with CIFOR’s contract management unit;Assist the Component 2 Leader in monitoring the Component 2 finances;
Organize workshops in or outside CIFOR; responsible in the meeting logistical matters: accommodation, transportation (both air and ground), distributing invitation letter and other logistical matters as necessary;
Organize meeting rooms in CIFOR; responsible for arrange booking, informing to participants and order refreshments;Send documents by post, fax, etc;
Assist in transportation arrangement (book flights, CIFOR’s transportation booking to CIFOR Motor Pool, etc;
Keep and maintain timetable for Component 2 members in Forests & Livelihoods Programme;Keep and maintain records of Component 2 documents including Memoranda of Cooperation (contracts with 20+ REDD+ proponent organizations), consultancy contracts, field equipment, hard copies of questionnaires, etc;
Provide and distribute CIFOR publications when needed (e.g. for Component 2 partners);Assist the Research Office in issuing reminders to the related Component 2 tasks and to do lists;
Other duties as assigned.

Requirements
Education, experience and technical skills
Diploma in secretarial, administration or other related fields
Three or more years of experience in secretarial duties
Knowledge of administrative standards and practices
Knowledge of finances is an advantage
Good written and spoken in English, able to conduct business in English through emails
Strong computer skills in word processing, MS Excel database applications and other relevant office applications.

Personal Competencies
Competent in personal organization and priority setting, with the ability to work efficiently under time pressure and manage multiple priorities
Have initiative and capable of working independently as well as an effective team player
Good interpersonal and communication skills, with the ability to effectively interact with people in a multi-disciplinary and multi-cultural environment
Experience working with a wide and diverse network of groups and individuals.

Terms and conditions
This is a nationally recruited position. CIFOR offers a competitive remuneration commensurate with skills and experience
The initial appointment will be for two years starting as soon as possible, with possible extension contingent upon performance, continued relevance of the position and available resources
The duty station will be in Bogor, Indonesia.
