Vacancy for Admin Assistant

Child Fund Indonesia is currently seeking:

Admin Assistant (AA/CFI)

Based in Jakarta

Key and Responsibilities:

·         Design, establish and maintain a central filing system for the administration and ensure quick retrieval of files when needed
·         Providing secretarial services for the office by handling visitor, arranging appointment/meetings as needed, incoming calls and making outgoing calls in a professional courteous manner.
·         Assist in providing logistical support for meeting.
·         Assist in document deliveries as well as sending and receiving fax.
·         Be responsible to arrange incoming and outgoing letters and have good coordination with Sponsorship and Partnership Department to ensure the letters from sponsor circulate properly. 
·         Liaise with finance to ensure that all bills related office (i.e electricity, phone, water, newspaper) are paid on a timely basis.
·         Responsible for travel arrangement for all staffs and ensure the payment paid on time.
·         Responsible for accommodation arrangement for staff or visitor.
·         Monitoring, tracking, and purchasing office supplies and stationeries.
·         Assist in maintaining, keeping the records of attendance list ChildFund Indonesia’s staff.
·         Monitoring and tracking insurance and schedule maintenance of ChildFund Indonesia vehicle.
·         Handle for monthly petty cash and liaise with finance for liquidation.
·         Assist Program Support Officer IT and Logistic to update vendor database.
·         Other administrative tasks consistent with the overall scope of this position as directed by Country Manager Human Resources and Operations.


Competencies:

University degree desirable.
Minimum of five year’s work experience in related sector
Fluency in written and spoken English and Bahasa.
