Tanoto Foundation (www.tanotofoundation.org) is a not-for-profit foundation which strives to be a center of excellence for facilitating and improving access to quality education and to empowerment opportunities that contribute to poverty reduction. The Foundation currently runs a number of philanthropic programs in Indonesia ranging from scholarship, teachers training, school improvement programs, research support, small business development. In addition, the Foundation also works with its corporate partners to design quality community development and CSR programs.
In 2010 Tanoto Foundation launched the Program Peningkatan Kualitas Pendidikan or Pelita Pendidikan. This program will be implemented in over 200 schools located in various rural areas within the Sumatera Utara, Riau and Jambi provinces. Most of the schools are Sekolah Dasar Negeri, Sekolah Menengah Umum Negeri and other schools.
Tanoto Foundation is currently looking for Field Finance and Admin Officer to be based in JAMBI.
JOB SUMMARY:
The Field Finance and Admin Officer (FFAO) is a position based in the field office in Jambi. The position is responsible for supporting the implementation of Tanoto Foundation's programs, with specific regard to supporting regional staff in finance, accounting, administration, and procurement aspects of project implementation. The Officer will report to the Regional Project Manager.
RESPONSIBILITIES AND TASKS:
Finance & Accounting
* Pay invoices, bills, and claims based on Tanoto Foundation finance procedures.
* Assist field staff in the collation and delivery of travel, project advances and personal claims to Jakarta.
* Conduct physical counts of petty cash, maintain petty cash log, and replenish and report petty cash to Finance department in Jakarta.
* Receive, register, and send finance documents to Finance department in Jakarta.
Administration
* Prepare general correspondences, fax, reports and memos as requested by Regional Project Manager.
* Hardcopy filing, electronic filing, printing, faxing, scanning all documents as required by Jakarta office and Regional Project Manager.
* Coordinate local travel arrangements such as booking of transportation & accommodation.
* Responsible for the assets and asset administrative system for the field office, including maintenance of asset database, and performing regular asset check and verification.
Field Office Management
* Supervise the daily log of driver and vehicle, including:
- Checking and accounting the weekly meal allowance and overtime for driver.
- Ensuring that all vehicle movements and fuel usage are recorded.
- Scheduling all vehicle maintenance in a timely manner according to the Foundation regulation.
- Processing all documents for permits and insurances of vehicles/ motorcycles for renewal process and that all vehicle documents are up to date.
* Assist in procurement of goods and services for the field office, including:
- Assisting procurement for field office and projects, either by handling the procurement process or by liaising with affiliated business units.
- Ensuring that the proper due diligence for procurement process have been conducted and that all required forms (Purchase Request, Purchase Order, Request for Quotes, Summary Bid Analysis, and Receipts) are properly filed or sent to the Jakarta office as appropriate.
* Manage office and housing maintenance and repairs and procurement of goods and services for office and houses of field staffs.
* Perform other duties reasonably assigned by the Head of Finance and Administration and by Regional Project Manager.
SELECTION CRITERIA:
* Diploma or undergraduate degree in accounting, finance, business administration, or management.
* At least 2 years experience in finance, accounting, or office administration. Previous working experience in development organization or NGO is not a must but is an advantage.
* Ability to undertake multi-tasks and willing to work under pressure and meet tight deadline.
* Literacy in computer, Microsoft office and windows applications.
* Ability to write well in Bahasa and to communicate passively in English, both spoken and written.
WORKING CONDITIONS:
The position is based in field office in Jambi but from time to time may be required to travel to project sites (up to 40% of the time).
