Vacancies at Putera Sampoerna Foundation: Sampoerna Academy Bogor (Head of Operations, HR Staff, GA Staff & F&A Staff)

The Putera Sampoerna Foundation (PSF) is the first Social Business Institution in Indonesia with the vision to create eminent and responsible future leaders and entrepreneurs for Indonesia to face the challenges of global participation.

The Putera Sampoerna Foundation is the first non-profit organization to receive the ISO 9001:2008 certificate of quality management systems which are of international standard. Sampoerna Academy is a network of boarding senior high schools that provides an international standard education for the best performing students from financially disadvantaged families. We aim to develop these students to become future leaders with high moral fiber. Qualified and experienced individuals are invited to apply for the following positions in our campuses, located in Bogor District for the 2011/2012 academic year:

A. Head of Operations (HO-Bogor)
B. Human Resources Staff (HR-Bogor)
C. General Affair Staff (GA-Bogor)
D. Finance & Accounting Staff (FA-Bogor)

A. Head of Operations (HO-Bogor)

Responsibilities
1. Develops and continuously enhances work plan, procedures, and standards for the Operation & dormitory teams, to ensure the teams understand the department’s strategies and goals
2. Ensures all offices (school & Dorm) and their supporting facilities are well functioned and maintained
3. Ensures required office (School & Dorm) supplies are delivered effectively and efficiently to users
4. Ensures required HR system are available effectively and efficiently
5. Ensures Finance & Accounting system are available effectively and efficiently
6. Ensures sufficient Marketing & Communication strategy & implementation is effective and efficient
7. Ensures outsourcing/partnership opportunities are exploited
8. Ensures effective and efficient travel and accommodation activities are available
9. Ensures the organization’s procurement process are performed based on policies and procedures
10. Continuously searches and proposes cost efficiency or productivity enhancement initiatives to the Operations Director
11. Prepares the department budget and monitors the usage and realization of this budget, to ensures its effectiveness and efficiency
12. Develops, motivates, and evaluates subordinates’ performance to ensure the achievement of skills, knowledge and competencies

Requirements:
• Holds min S1 from business administration or any relevant disciplines
• Possesses min 5 years work experience in project management or business administration
• Knowledge of education system and issues in Indonesia.
• Possess global and deeply comprehensive in system and operating procedures within the office.
• Possesses reasonable knowledge in using relevant office applications such as Microsoft words, excel, power point, etc
• Has sufficient English skill, both spoken and written
• Has excellent communication and presentation skill
• Possesses good understanding in office management

B. Human Resources Staff (HR-Bogor)
Responsibilities
1. Assist HR Officer on perform Pre-Recruitment tasks such as ERF issuance, Job Analysis (create and update Job Descriptions and Job Specifications of each position) and Job Evaluation (weighting Job Descriptions) for further distribution to job holders.
2. Assist HR Officer on perform Recruitment for New Hires (sorting received applications, selecting candidates, setting interview schedule, prepare for new hires’ facilities, welcome new hires, update new hires to Organization Structure, Man Power Planning, and Employee Database) and process internal Employee Movement (extension of contract, permanency, transfer, resignation, termination, etc.).
3. Together with HR Officer to continuously update, suggest and propose to develop Organization Structure (inclusive reporting line and manning guide), Peraturan Karyawan, Regulations, Policies, updated Government Regulations and update SOP regularly to be aligned with latest SF situations.
4. Arrange and administer Public Programs for employees and follow up on Post-Training.
5. Assist HR Officer on prepare and conduct Orientation Program for New Hires and other internal / in-house development programs.
6. Administer and maintain HR Information System relating to employee development.
7. Produce and submit monthly HR Dev’t. Report and other periodic as well as required ad-hoc reports, as well as perform other duties and project as assigned by superiors.

Requirements:
• Graduated from a reputable Psychology or Business Administration (D3 / S1).
• Having experience in handling HR matters would be an advantage.
• Possesses min 2 year work experience in handling administration and/ or secretarial function.
• Computer literate (Ms. Word, Ms. Power Point, Ms. Excel, Outlook Express, Microsoft Access, etc.).
• Sufficient English skill, both spoken and written.
• Good correspondence skill.
• Excellent communication and interpersonal skills.
• Excellent administrative skill.

C. General Affair Staff (GA-Bogor)

Responsibilities
1. Provide administrative and logistic support (transportation, ticket, hotel reservations) to Program Support Unit members and other department in Sampoerna Academy that related to Sampoerna Academy Program
2. Support in maintaining an accurate and relational database according to ISO 9001:2008
3. Maintain all the documents such as mailing, invoicing, purchase request, financial documentation and program documents that related to Sampoerna Academy project are managed, updated, archived according to SOP.
4. Provide and maintain proper expedition book for all incoming and outgoing mail, documents, invoice and etc from Sampoerna Academy Project
5. Cooperate and maintain communication with the Sampoerna Academy’s Schools that related to administrative tasks
6. Prepare correspondence & reports as required and/or as directed
7. Prepares meeting packages and minutes of meeting assigned by Program Support Unit Members
8. Perform other work-related duties and ad hoc projects as assigned by Head of Operation and and Program Coordinator

Requirements:
• Holds min D3 from Secretarial or any relevant disciplines.
• Competent in team player, demonstrates initiative, strong interpersonal and communication skills, flexible, Willing to work under pressure, Fast learner with a positive attitude
• Possesses min 3 years work experience in the same position.
• Possesses reasonable knowledge in using relevant office applications such as Microsoft words excel power point, etc.
• Fluent in English (reading, writing, speaking).
• Excellent communication and presentation skill.
• Good analytical skill.
• Good conceptual skill.
• Good administrative skill.

D. Finance & Accounting Staff (FA-Bogor)

Responsibilities
1. Receiving invoices from our vendors and input received and due date invoices in Outstanding Invoices Report.
2. Receiving all documents payment to be checked accounting finance from all department and business unit
3. Providing information on settled payments to vendor and employee via any means of communications(by mail, phone and fax)
4. Receiving, recording and filling MOU signing between Sampoerna Academy Bogor and its vendors.
5. Recording payment settled through bank transfer and petty cash in Payment Report.
6. Scrutinizing all payment documents into: Accounting (white), Finance (yellow) and Requestor (red), and Filling all payment documents.
7. Responsible for in out all Accounting and Finance document

Requirements:
• Holds minimal S1 from Finance/Banking or Accounting
• Minimum 2 years of working experience in finance and would be beneficial if having experience in nonprofit organization
• Good knowledge in basic finance
• Computer literacy especially for MS Office and Power Point
• Have good knowledge to correspondence and communication with bank and their regulation
• Able to work under pressure
• Has sufficient English skill, both spoken and written
• Has excellent communication, initiative and team work

Work Location: Sampoerna Academy Campus-Bogor
