I.  **Program Description*

Since the 1970s HKI has been working to establish sustainable evidence-based approaches to enhance health, nutrition, rehabilitation and education in Indonesia. HKI's programs in Indonesia engage all levels of the government health and education structure from national to village level. HKI provides services which are integrated into existing health and education systems by developing its human resources and infrastructure, conducting needs assessments, analyzing local characteristics to inform program design and implementation, training of personnel, providing basic equipment and medicines, delivering services, monitoring program progress and evaluating their impact.

HKI currently implements education, rehabilitation, eye care, health, and nutrition programs in 24 countries worldwide.  Through 90 years of experience, HKI has developed particular expertise in large scale implementation of targeted interventions, development of government service delivery systems and comprehensive monitoring of program outcomes, such as policy developments, educational access, nutritional status, mortality and morbidity.

II.   **Position Description*

Based in Soe, Timor Tengah Selatan District, Nusa Tenggara Timur, the Project Assistant will be responsible to provide assistance to Nutrition Technical Officer in managing day to day Homestead Food Production (HFP) project financial and administration aspects of HKI’s Soe Sub Office.

III.    **Essential Job Functions

  - Recording and book keeping of necessary administration, finance and logistics documents related to the programs.
  - Responsible for compiling and checking monthly field financial forecast and reports
  - Process all programs’ advance requests released from Soe Sub Office and settling it with the Finance Department after the approval from Nutrition Program Manager.
  - Responsible for creating, tracking and monitoring project procurement
  - Responsible for travel arrangements of project
  - Provide necessary information and documents regarding to the purchase and maintenance of logistics stuff for the program.
  - Assist the HFP team on the arrangement of meeting, training, and workshop with program’s partners.
  - Provide travel arrangement for the programs.
  - Key contact of the program with the vendors.
  - Support the HFP’s Soe team on the needs of logistics arrangement and administration supports.
  - Supervise the Program’s driver in Soe’s Sub Office which includes but not limited to preparing the daily schedule for driver, monitoring the driver’s logbook, recording the driver’s overtime sheets, report to the Nutrition Technical Officer and Finance, Admin & HRD Director monthly and vehicle maintenance.
  - Supervise the usage of motorcycles in Soe’s Sub Office including monitoring of logbook and vehicle maintenance.
  - Provide regular update and summary to the Nutrition Technical Officer regarding to the program’s administration and logistics records.
  - Perform all the duties related to the programs assigned to and report it the Nutrition Technical Officer and Nutrition Program Manager.

IV. Qualifications and Experience

  - Bachelor degree in administration or secretary
  - At least 3 years of related experience, preferably in NGO
  - Excellent oral and written English is preferred
  - Excellent oral and written Bahasa Indonesia
  - Strong interpersonal skills in dealing with external contacts as well as internal colleagues
