TheFrenchRedCross(FRC)ispartoftheglobalRedCross/RedCrescentMovementandispresentinIndonesiaat theinvitationoftheIndonesianRedCross(PMI)sincethe26December2004tsunamiinNanggroeAcehDarussalam and Nias Island.
Inthefieldoflong-termdevelopment,FRChasbroadeneditscommitmenttocontributetotheeffortstowardsthe reinforcement of disaster management capacity in Indonesia. FRC is supporting PMI to implement Integrated CommunityBased RiskReduction(ICBRR)Programin WestSumatera
ProvinceofIndonesia.
Withinthisoverallframework,FRCiscurrentlyseekingasupportservicemanagertoberesponsibletomanagethe officeofFrenchRed CrossIndonesia delegation.
Key
tasks andresponsibilities
Responsible ofthe support service which include finance, logistic, human resources,administration and generalaffairs ofJakartaOfficeof French Red Cross.
SpecificTasks:Finance
· Beresponsibleincashmanagingandthebanksaccounts,cashverificationincludingcheck the validityofinvoicesbeforepayment,paymentrecordonadailybasisinthesoftwareandensurethe availabilityoffunds
in the account at anytime;
· Preparethemonthlytreasuryforecast forFRCIndonesia
delegation;
· · Beresponsible to follow thereconciliation
between expenditures committedand the budget forecast forFRCIndonesia delegationand analyzethe differences between
budget orecastsandexpenditures done;
· Makethe budget
for local runningcosts;
· ProposeanupdateofJakartabudgetsaccordingtotheevolutionoftheactivitiesandsubmitthemto
the Head ofDelegation with explanations and appropriate comments.
Logistic
· Beresponsible
forlogistic includinginventories,workstation, accomodation and flight arrangement;
· Beresponsible in allpurchaseand
procurement
processaccordingto French Red
Cross procedures;
· Prepare contractorpurchaseorder foreach procurement
process;
· Beresponsible forfleetmanagement
ofFRCIndonesia Delegation.
HumanResources
· Management
ofstaffteam, including recruitment and preparingworkagreement;
· Bereponsible for visa/workingpermit arrangement forFRC delegates;
· Follow up alltypes of absences, annual leave andhealth reimbursement ofallstaff.
Administration
andGeneral Affairs
· Managingadministrationand support service;
· Support the Head
of Delegation
inschedulingactivities, appointments, and meetings, andensuring that logistical
and administrativesupports areprovided for allscheduled activities;
· Preparebusiness letter, report and otherdocument;
· Maintain
file andgeneralofficeorganisation.
POSITION REQUIREMENTS: Education:
Preferred
universitydegreein
relevant discipline (Social Science, Development, Finance or otherrelevant
fields)
Experience:
5years experiencein administration and officemanagement
Skills:
Excellent
communication skills both in Bahasaand
English, in oral and written;
Excellent knowledgeinMicrosoft
Office;
Abilityto work
in adiversecultural
context;
Abilityto work effectivelywithin ateam
environment;
Excellent knowledge offinancial reporting
