Save the Children international: Support Services Assistant (SSA Jot) - 1 post in Jakarta

Save the Children has worked in Indonesia since 1976 to promote health and nutrition, education, child protection, livelihoods, and emergency preparedness and response. Save the Children has grown enormously in the country and today we operate in 13 provinces across Indonesia. Our program in Indonesia has made significant progress at the national policy level. Currently Save the Children immediately need for an experienced staff to be part of our support team and will be based in Jakarta.

The position we are looking for:


Support Services Assistant (code: SSA Jkt) – 1 post, based in Jakarta

Job holder will directly reporting to Support Services Manager in Jakarta. She/he will responsible to ensure the reception function, travel, international staff visit, meeting, workshop and other official events run smoothly and efficiently to support the organizational operation.




Job Responsibilities:

1. Ensure timely billing payment for ticket and hotels from travel agents.

2. Serve as main contact for travel agents and accommodation providers, ensure efficient accommodation, VIP visit, ticket reservation for both national and international travel, workshops, meeting packages and other events that conform to SCI policies.

3. Assist in the process of KITAS, MERP, visas, work permit for international staff and visitors.

4. Serve as receptionist, ensure professional front office service to the organization.

5. Assist in Indonesia-English translation and vice versa.

6. In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal job description and be able to vary working hours accordingly.

7. The job duties and responsibilities as set out above are not exhaustive and the post holder may be required to carry out additional duties within reasonableness of their level of skills and experience.


Occasional Significant Duties

1. Represent or act in lieu of the Humanitarian Manager in her/ his absence or as assigned.

2. Carry out additional tasks related to the project as assigned by Humanitarian Manager.


Special Requirements:
Education: Bachelor University Degree in related discipline.

Skill and Experiences:

• At least 1 years experience in similar field, working experience in (International) NGO is preferred.

• Demonstrable ability to work with diverse group of support and program team.

• Ability to work in a fast-paced, pressured environment.

• Proven generated timely report.

• High levels of self-motivation, energetic personality and initiative of customer service.

• Proven track of planning & arrangement skills with travel agents, events and/or accommodation providers, hotels, immigration, etc with detailed oriented.

• Ability to work effectively as part of a multi-cultural and multi-disciplinary team.

• Excellent communication skill, personal and interpersonal.

• Strong written and verbal English and Bahasa Indonesia.

• Excellent knowledge of computer program (Excel, spreadsheets, MS Power Point).
