Vacancy : Sponsorship Relations Officer, CDF for Mentawai Program

Title: Sponsorship Relations Officer
Location: Medan, North Sumatera           
Report to: Sponsorship Relations Coordinator
 
Yayasan Fondasi Hidup is an independent non-governmental organization based in Medan, North Sumatera and has program operations in Aceh Province,North Sumatera Province and Siberut Island, West Sumatera Province.  FH has been working in Indonesia since 2005 and aims to alleviate all forms of poverty through wholistic programming and approach. 
Currently, FH works in the Agriculture, Economic Development, Education sectors as well as addressing cross cutting issues such as Gender Balance and Equity, Good Governance and Disaster Risk Reduction.  Our goal is to walk with families and community leaders to bring sustainable change.  
 
Main purpose of the role
Established and maintain the existing communication between sponsor/donors, and children (beneficiaries) inline with the child protection policy and make them as positive experiences for all related parts. 
This role will:
- Work closely with Sponsorship Relations Officer, CDF (Child Development Facilitator) and other staffs in Medan office
- Facilitate communication/correspondence between sponsor and registered children.
- Advocate and mentoring the kids growing update and facilitate communication with sponsor
- Handling document and set up filing system for World Link and sponsor relation in high detail and accurate
 
 
Responsibilities (JD)
  • Receiving letters from CDF in correspondence tracking log
  • Working with CDF to update the child sponsorship database and ensure the data was verified
  • Checking, scanning and translating incoming and outgoing letters
  • Dividing letters and coordinating with field staffs for correspondence and letters
  • Doing good quality of child correspondence, responsiveness to request, and compliance to standards (time, quality, etc), in order to make communication between child and sponsor is unbreakable and deliver information accurately and meet the standard
  • Respond the sponsor request as soon as possible in order to provide the sponsors need immediately
  • Maintain good documentation and filing system in order to keep the accountability of sponsor relations in the area of work
  • Assisting with trainings, as needed
  • Other duties as requested/assigned
 
Dimensions and Limits of Authority
The Sponsorship Relations Officer has the responsibility to organize sponsorship relations/communication matterrs inline support for child development and sponsorship programs. He/She will report to WL Sponsorship Relation Coordinator. 
 
 
Qualifications, experience and competences
Essential
·         Commitment to FH’s vision, mission and values.
·         Strong experience of working in humanitarian relief /development sector in the field, in a livelihood or other related program support role.
·         Strong experience of assesment work for funding purpose on the field
·         Strong communications skills, with excellent verbal and written English.
·         Excellent problem solving ability with proven analytical skills.
·         Experience of establishing strong and constructive working relationships with colleagues from different functions, organizations and cultures.
·         Experience of working and participating effectively as part of a team.
·         Good experience of external representation i.e. NGO/Donor coordination meetings
·         Experience of a flexible approach to managing and prioritizing a high workload and multiple tasks in a fast paced environment with tight deadlines.
·         Experience of proactively identifying and addressing issues.
·         Attention to detail.
·         Good, proven, negotiation skills.
·         Strong problem solving abilities.
·         Confident and proficient user of MS Office, with advanced Excel skills.
·         Willing to work occasional evenings and weekends.
·         Able and willing to travel to remote and insecure locations for short periods of time and at short notice.
 
Desirable
  • Basic qualification in bachelor degree/diploma
  • Experience in handling administration/document and field work for funding/sponsorship purpose 
  • Have good communication skills

Tujuan Utama dari Fungsi/Posisi ini
CDF (Comunity Development Facilitator) dibutuhkan untuk mengimplementasikan program FHI di service area Mentawai di bidang Pertanian dan Pendidikan. CDF
(Community Development Facilitator) akan melapor kepada Area Coordinator yang menjadi pengawasnya mengenai kemajuan program, Sponsorship komunikasi (Pendampingan anak dan Keluarga) dan masalah-masalah yang ditemui di lapangan. Selain itu CDF ( Comunity Development Facilitator) perlu melakukan koordinasi/komunikasi dengan mitra kerja dalam pengimplementasian program. Posisi ini membutuhkan kemampuan berkomunikasi yang baik dan kemampuan bekerjasama dalam satu tim.
Kemampuan bersikap proaktif dan mempunyai inisiatif sangat diperlukan untuk posisi ini.

 
 
Tanggungjawab (JD)
  1. Mengimplementasikan program FHI di area service Mentawai.
  2. Mengimplementasikan Sponsorship FHI ( Pendampingan anak dan Keluarga) di area service Mentawai.
  3. Mengidentifikasi kebutuhan dari program, staff, dan mitra kerja
  4. Dokumentasi dan Penulisan Laporan
  5. Pendampingan,Pemantauan, Evaluasi dan Pelaporan program
  6. Komunikasi dan Koordinasi Internal.
  7. Melakukan tugas-tugas lainnya yang diminta oleh Area Coordinator.

  1. Berpendidikan minimal S1/D3 dibidang Pertanian atau yang relevan.
  2. Memiliki latar belakang mengelola proyek baik dalam sektor pengembangan masyarakat dengan pengalaman pertanian
  3. Memiliki kemampuan berkomunikasi dan berinteraksi dengan baik
  4. Memiliki kadar integritas, sensitivitas ,kemampuan beradaptasi dengan Budaya dan Agama yang berbeda.
  5. Bersedia tinggal dan melakukan perjalanan ke lokasi terpencil dan tidak aman untuk jangka waktu diperlukan.
  6. Mampu mengoperasikan computer dan internet dengan baik
  7. Memiliki SIM C dan Mampu mengenderai Sepeda Motor.
