About Yayasan Rumah Energi
Yayasan Rumah Energi has been established by Hivos on 19 November 2012 within the framework of the Indonesia Domestic Biogas Programme. The purpose of the establishment of YRE is to ensure the continued and sustained development of the biogas sector in Indonesia. YRE, as a local entity, will engage also in various other projects with a main focus on renewable energy including supporting the delivery of Sumba Iconic Island Initiative led by Hivos, a Dutch development organization guided by humanist values.
 Programme Summary
Sumba Iconic Island Initiative is part of Hivos' renewable energy programme in Indonesia. With the support of the Indonesian Ministry of Energy and Mineral Resources, this multi stakeholder initiative was started in late 2010 aimed at 100% renewable energy access for the people in Sumba by 2025. Hivos believes energy is a vital driving force for development. Access to energy can alleviate poverty, improve living conditions and propel economic development. Duration:
1 year contract with possible extension upon funding availability
 Responsible to: Yayasan Rumah Energi Biogas Provincial Coordinator
 
Job Description/Roles and Responsibilities:
Administration:
  • Assist in the setting up of new local office necessities in East Sumba
  • Answer phone calls and receiving visitors
  • Record incoming and outgoing correspondence
  • Record incoming and outgoing warehouse stock
  • Draft letters/documents as required
  • Do photocopying, scanning, faxing and sending of documents
  • Organize logistic matters of meetings and events (such as food order, sending invitations and follow up confirmation, registration desk, etc.)
  • Handling in procurement & logistical tasks (find quotations and prepare purchase and/or bidding documents)
  • Scan and entry data for construction documents as well as filling all documents related with local partners, such as: pre-construction forms, biogas completion reports, narrative and financial report etc
  • Performs other duties as may be assigned by SII and BIRU Provincial Coordinator, Office Manager and PO GE Sustainable Energy
  • Update contact lists and manage the name cards holder
  • Filling system for incoming/outgoing documents (hard/soft copy)
  • Manage monthly timesheets
  • Manage car/vehicle usage
  • Responsible for small office maintenance tasks
  • Organize delivery of documents and programme equipment
  • Organize travel and accommodation of staff and guests
  • Prepare contracts for vendors/suppliers
  • Finance
  • Handle petty cash
  • Record all transactions and submit monthly financial report based on accurate transactions.
  • Prepare liquidation reports of fund usage
  • Prepare cash advances for operational cost
  • Prepare budget breakdowns for office operational needs
 The AFA is also expected to carry out any other assignment as and when required for the Iconic Island programme delivery.
 Required Skills and Experiences
  • Willingness to live and resides in East Sumba, NTT
  • Minimum SMK/D-3
  • Minimum 3 years work experience, preferably in similar industry
  • Minimum 2 years experience in similar position/responsibility
  • Fair proficiency in English
  • Understand how to operate MS Word, MS Excel and E-mail.
  • Understand basic Administration and Finance system (bookkeeping)
  • Ability to work effectively as part of a team
  • Understand tax
