Junior Administrative Professional

Responsibilities
The junior administrative professional is responsible for
- The proper management of WINPACCS Cash Book in accordance with GIZ financial management and accounting procedures
- Manages Petty Cash
- Follows up Monthly Error Sheets and Internal Control findings
The Junior Admin Professional performs the following tasks:

Tasks
Accounting
§
Records daily transactions to WINPACCS cash book
§
Maintains the filing for financial records confidentially
§
Calculates and verifies travel expenses on official journeys for project staff/consultant/counterpart (national, international)
§
Updates and spreads information to work area colleagues related to finance issues
§
Monthly financial reporting, monitoring, and follow up issues settlement related to WINPACCS cash book
§
Prepares, follows up, and monitors possible financial agreements and/or local subsidies with local partners
§
Reviews
and quality checks the classification of all vouchers/receipts
according to completeness and to cost centers/cost category/legal as
sent by the projects and corrects
them if required
§
Follows up the monthly error sheets
§
Prepares internal controls in accordance with GIZ’s internal control manual and with the support of PAKLIM’s Financial Manager
Other duties/additional tasks- Reports all problems with financial administration and compliance without delay
- Responsible for filing in accordance with GIZ rules
- Supports on event arrangement and logistical (venue, travel, hotel and flight) aspects of programme activities (trainings, meetings, workshops, etc.)
- Performs other duties and tasks at the request of management
- Consults with Team Leader, Head of IMS and the Financial Manager on all important issues

Required qualifications, competences and experience
Qualifications
- Qualification in business administration with a focus on accounting or related area
Professional experience
§
At least 3 years’ professional experience in a comparable position
Other knowledge, additional competences
§
Good working knowledge of IT (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
§
Confidential handling of data and information
§
Very good knowledge of English language, and knowledge of German language will be an advantage
§
Excellent communication skills and integrity
