PSO Office Manager- Permanent
Typical Responsibilities - Key End Results of Position:
Maintain office services
Main Activities:Design and implement office policiesEstablish standards and procedures,Organize office operations and proceduresSupervise office staffMonitor and record long distance phone callsPrepare time sheetsControl correspondencesReview and approve supply requisitionsLiaise with other agencies, organizations and groupsUpdate organizational membershipsMaintain office equipment
 
Supervise office staff
Main Activities:Assign and monitor clerical and secretarial functions,Recruit and select office staffOrient and train employeesProvide on the job and other training opportunities,Supervise staffEvaluate staff performanceCoaching and disciplining staff
Maintain office records
Main Activities:Design filing systemsEnsure filing systems are maintained and up to date,Define procedures for record retentionEnsure protection and security of files and records,Ensure effective transfer o files and recordsTransfer and dispose records according to retention schedules and policiesEnsure personnel files are up to date and secure
Maintain office efficiency
Main Activities: Plan and implement office systems, layout and equipment procurement,Maintain and replenish inventoryCheck stock to determine inventory levelsAnticipate needed suppliesVerify receipt of supply
Risk and Security
Perform other related duties as required
Requirements:
Knowledge
The Candidates must have proficient knowledge in the following areas: knowledge of officeadministrationknowledge of human resource management and supervisionability to maintain a high level of accuracy in preparing and entering information
Skills
The Candidate must demonstrate the following skills: excellent interpersonal skillsteam building skillsanalytical and problem solving skills, decision making skills, effective verbal and listeningcommunications skillsattention to detail and high level of accuracyvery effective organizationalskillseffective written communications skillscomputer skills including the spreadsheet and wordprocessing programs, and e-mail at a highly proficient levelstress management skills,time management skill
Personal Attributes
The incumbent must maintain strict confidentiality in performing the duties of the Finance andAdministration Officer. The incumbent must also demonstrate the following personal attributes: be honest and trustworthybe respectfulpossess cultural awareness and sensitivitybe flexible,demonstrate sound work ethics
The incumbent would normally attain the required knowledge and skills through completion ofoffice procedures coursework combined with related financial and administrative experience.
Range salary : IDR 11, 550, 000 - 16 500 000,-
