Country HR and Office Manager, Ipas Indonesia-Jakarta

The Human Resources (HR) and Office Manager is a dual-role involving the full spectrum of human resources and office management responsibilities for Ipas Indonesia. This role is responsible for performing HR-related duties at senior level in the following HR functional areas: benefits administration, employee relations, performance management, onboarding, policy implementation, recruitment/employment, and employment law compliance. The office manager component of this position is responsible for ensuring the smooth functioning of the office’s operation: office administration, legal registration process, Information Technology, logistics and procurement, and facilities management.

Responsibilities:

• Participate in key decisions as a member of the management team
• Maintain in-depth relationships with all members of the management team
• Ensure that administrative and human resources procedures follow principles of good governance while ensuring speedy delivery of services in the context of an international health organization
• Administer various human resource plans and procedures for all company personnel; assists in the development and implementation of employee handbook and personnel policies and procedures in conjunction with senior management.
• Perform benefits administration to include claims resolution, change reporting, approving invoices for payment, and communicating benefit information to employees
• Conduct recruitment efforts and new-employee orientations, monitors professional development programming
• Handle employee relations counseling and exit interviewing
• Maintain company organization charts and the employee directory
• Recommend new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performed
• Maintain compliance with national and local regulations concerning employment
• Responsible for management of the building which includes, but is not limited to, managing repairs, rental agreements, etc.
• Supervise the maintenance of office equipment, including copier, fax machine, etc.
• Responsible for the facilities day-to-day operations, such as distributing building access keys and back-up to security access cards, etc.
• Supervise and coordinate overall administrative and office activities
• Supervise the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities
• Negotiate the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions
• Participate as needed in special department projects

Requirements:

• A bachelor’s degree in related field
• 8+ years of combined human resource and office management experience
• 2+ years of experience working in the non-profit industry, preferably in the health or international development sectors
• Solid understanding of national and local employment regulations
• Working knowledge of office processes
• Strong customer service orientation with the ability to effectively communicate with all levels of personnel
• Experience in partnering with an executive team
• High level of written and oral communication skills
• Proven ability in managing and leading staff
• Facilitation and training experience
• Fluency in spoken and written English
