To assist
with this focus our Jakarta Office is seeking a Project Support Officer (PSO)
to contribute and support PT Cardno Indonesia. The Project Support Officer will
contribute to the success of Cardno EMR by providing professional services
support for project administration, marketing and QMS support activities within
the team.
Based in our
Jakarta office, the position plays a crucial role supporting Cardno’s programs,
projects and the corporate office in administration.
Principal
Responsibilities include :
·
Provide
high level word processing and administrative support to marketing, bids and
projects, regional staff and Manager, by assisting the bid manager to mobilize
and arrange accommodation for the team, overall general administrative tasks.
·
Monitor
and disseminate relevant electronic and paper based communications within head
office and with overseas projects, by saving all the email correspondence to
the shared folders for each related subjects.
·
Oversee
the filing of project, individual and marketing information using in house
system, by doing proper and comprehensive filing structure as per QMS guideline
in hardcopies and softcopies.
·
Arrange
authorization of funds requests, by circulating fund request to Contractor
Representative and the Divisional Accountant for their approval prior to
submission to Accounts Payable, by indicating the expected date of fund
transfer to project’s bank account.
·
Check
and process claims for payments against contracts, by checking all the
necessary documents for payment process, seek approvals, prepare the payment
request forms, assign proper cost codes, and upload the request to
AP.
·
Process
and maintain accurate records for all medical and travel insurance claims for
overseas staff, registering the LTAs on the AON portal, and provide most
updated insurance coverage to LTAs, and provide the STAs with the travel
insurance.
·
Track
and report on project/personnel movements, status of accommodation (rental
leases) where premises leased by Cardno, by providing an accurate data of payroll
and remaining balance as per individual contracts, filing each housing rental
agreement on the proper folder for each consultants.
·
Assist
in the effective management of activities, projects and personnel: by
having a good coordination with project’s activity coordinators to avoid
overlapped responsibilities.

Coordinate
the mobilization, travel and accommodation arrangements for consultants and
subcontractors, as required, including obtaining visas and other relevant
documentation, preparing pre-departure briefings, by requesting the consultant
to provide valid IDs or Passport details for proper mobilization, send the
request to CTM or local travel agent for airline tickets and hotel arrangement
based on Cardno’s travel policies (business class-more than 4 hours, and 4
stars hotel, or based on DFAT’s latest policies.

Other
duties as requested by the manager including filing and coordinating meetings
and appointments, arrange the interview session with candidates.
Qualification
& Skills include:
·
A
university degree in any field.
·
Minimum
3 years’ experience working in administrative positions within the
International Development sector.
·
Familiar
with Visa and working permit for expat.
·
Well-developed
communication and liaison skills in both written and spoken English and Bahasa
Indonesia.
·
Sound
administrative skills and experience, including the ability to work under
pressure and meet deadlines.
