GIZ Indonesia for The Forests and Climate Change Program (FORCLIME) project: Driver and Office Assistant

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is an international cooperation enterprise for sustainable development with worldwide operations on behalf of the German Government.


The Forests and Climate Change Program (FORCLIME) in cooperation with the sectorial Program Sustainable Agricultural Value Chains and Standards supports the Government of Indonesia in their endeavor to mitigate the effects of climate change through forestry sector reform and biodiversity conservation and as a new intervention area on the establishment of sustainable agricultural value chains to reduce deforestation, caused by agricultural commodities. Pilot activities are being supported in the district of Kapuas Hulu, where a jurisdictional sustainable value chain initiative has been initiated by the district government. The initiative is supported by the German Federal Ministry for Economic Cooperation and Development (BMZ) and implemented by GIZ (German International Cooperation) with the district government and the Indonesian Ministry of Forestry as the current Program Executing Agency.

The Programme's overall objective is to improve forest protection while enhancing the livelihoods of rural communities and establish verifiable agricultural value chains from sustainable production in Kapuas Hulu up to the final export market. To achieve this goal, the Programm team assists the Indonesian  Government  in  designing  and  implementing  legal, policy  and  institutional  reforms  for  the conservation  of forests and the development of sustainable agricultural value chains, at local, provincial and national level. The support for sustainable agricultural practices and the traceability along the value chains towards the European markets are a new feature of the Programme, providing decision-makers with valuable experience of i.e. how the ISPO process could be implemented "on the ground".

GIZ seeks a qualified Indonesian candidate for one position of 
Driver and Office Assistant

A.   Responsibilities
  • Safely and responsibly performing all official travel using official vehicles
  • Management of official vehicle matters (logbook, insurance, tax, STNK/car licence) and preparing vouchers vehicle-related accordingly;
  • Regularly maintenance and looking after official vehicles;
  • Taking account of all available information on road conditions, accessible routes and locations;
  • Keeping the office premises clean and tidy
  • Running official errands and assisting with other office services.


B.     Tasks

1.    Vehicle Management
Driving and chauffeuring
  • Drives office vehicles safely and chauffeurs office staff, official visitors and guests to official destinations
  • Helps with transporting goods;
  • Completes the vehicle log book correctly and conscientiously in accordance with GIZ standards;
  • Does not use the car for his own private purposes at any time. Such miss-used of the vehicle is considered a serious misconduct, and will immediately lead to a warning and may result in dismissal.

Services
  • Cleans the interior and exterior of the vehicles regularly;
  • Checks oil, water, brakes and brake liquid, tyre pressure, battery levels and the entire vehicle, monthly or every 5,000 km (whichever is first), headlights, brakes, bodywork for dents etc;
  • Responsible for the project vehicle documents and their good condition, keeps vehicle logbook on a daily basis and registers each monthly check
  • Calculate daily park and toll fees and settle the cash advance immediately after the trip took place 
  • Reports the need for maintenance and carries out minor repairs;
  • Immediately reports all involvement of the project or office vehicle in accidents, including minor accidents, damage, loss or theft of vehicle fittings.

Knowledge management
  • Uses all available information (including current radio broadcast on traffic conditions) to update daily knowledge of road conditions, current passable routes and locations, and shares this information with other office drivers.

2.    Office Services and Administration

General Services
  • Wears a proper uniform
  • Cleans and tidies the office premises
  • Provides services at meetings, e.g. serves coffee and tea for guests and visitors
  • Runs errands, e.g.: buying lunch for office staff, if and as required
  • Assist in proper maintenance and repair of office premises and equipment
  • Reports major damages of office premises and equipment

Supports Office Communications and Administration
  • Operating the telephone and informing staff of important communications
  • Makes photocopies and scans documents, if and when required
  • Supports the Junior Finance Professional in collecting project funds from the bank, paying office bills, buying small quantities of office supplies & stationeries, if requested
  • Supports and checks office logistics (supplies & stationeries) and reports it to Junior Finance Professional
  • Supports office for messenger services, e.g.: sending letters and messages
  • Assists in the logistical management of the meetings, workshops and other activities of the project by documenting events (taking photos)
  • Supports the Junior Finance Professional in filling and organizing supporting documents of project

Other duties/additional tasks
  • Assists other colleagues as needed if there is no duty travel and carries out other office work as assigned
  • Undertake further job training related to his position and duties, if required.

C.     Required qualifications, competences and experience
  • Secondary school education;
  • Holds a valid driver’s licence is a MUST;
  • At least 3 years’ professional experience as a driver with references;
  • No major accidents in the past 3 years;
  • Discipline and punctuality, resilience and patience, appropriate appearance and attire;
  • Very good knowledge and familiarity with Pontianak area and its surroundings;
  • Ensures unrestricted availability of vehicles at all times and reports restrictions immediately;
  • Sufficient knowledge of English;
  • Sufficient working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office);
  • Willingness to up-skill as required by the tasks to be performed – corresponding measures is agreed with management.
