ACTED Vacancy : Liaison and Logistics Officer

JOB PURPOSE
Under the authority of the Area Coordinator and the Country Finance Manager, the Area Finance and Administration Officer (AFAO) is in charge of the area finances as well as recruitment and administrative follow up of HR activities.

OBJECTIVES
Facilitate the smooth running of ACTED operations in Indonesia, in particular by ensuring good relationship with government counterparts and obtaining all relevant permissions.

DUTIES & RESPONSIBILITIES
1. Liaison
a) Follow-up ACTED registration in the country with the Ministry of Foreign Affairs
b) Negotiate MoUs with relevant Line Ministries
c) Prepare all administrative letters with stakeholders relevant to ACTED’s operations, in particular obtain permissions from relevant ministries/agencies
d) Ensure compliance of ACTED to legal requirements of the country.
e) Book international and domestic flights for ACTED staff and purchase tickets.
f) Arrange travel and accommodation, incl. providing travel advice to visitors;
g) Ensure international staff have the appropriate visas
h) Assist with the preparation of meeting agendas, presentations, project filing, photocopying, etc.;
i) Coordinate arrangements for meetings, visits, workshops and conferences;
j) Serve as the focal point for handling relationship with the office landlord;
k) Translate letters (English / Bahasa Indonesia) upon needs or requests.

2. Logistics
a) Oversee and manage the national tender process;
b) Procure supplies and services for the Palu  field office in case these supplies and services cannot be procured locally;
c) Receive and review the monthly logistics TITANIC from the field office, consolidate and prepare the ACTED Indonesia logistics TITANIC and send to HQ;
d) Manage the in-office stock of stationary and office supplies;
e) Prepare order forms and purchase orders when required;
f) Sort incoming supplier quotations, invoices and payment requests;
1. Coordinate for courier services to send and receive documents
