Short Term Consultancy Work : Sponsor Relations - ChildFund Indonesia

TERM OF REFFERENCE (ToR)
Consultant for Sponsor Relations  

I.             PURPOSE:
This Term of Reference is intended for Sponsorship department looking for consultant to Sponsor Relations Officer to manage sponsorship operation Eastern zone partners .


BACKGROUND:

About ChildFund Indonesia
ChildFund has been operating in Indonesia since 1973. It has its National Office in South Jakarta and  a zonal office in Kupang, Eastern Indonesia. ChildFund’s programs span 8 provinces, 32 districts and 173 villages in Indonesia, reaching approximately 700,000 beneficiaries. The program value is approximately $5 m per year comprising a mix of private funds and grants. ChildFund Indonesia delivers its program in partnership with local organizations and with other strategic stakeholders, engaging communities, local and national Government in the variety of sectors including Child Protection, Education, Health, Emergency Response, Disaster Risk Reduction, Food Security, Livelihoods Gender. , throughout Indonesia to suppport children and youth who are Deprived, Excluded and Vulnerable (DEV) so that they can realise their potential and become young adults, parents and leaders who will bring lasting and positive change in their communities. More specifically, ChildFund Indonesia supports these children in their different life stages towards becoming:
·         Healthy and Secure Infants and Young Children  – Lifestage 1 (LS 1)
·         Educated and Confident Children – Lifestage 2 (LS 2)
·         Skilled and Involved Youth – Lifestage 3 (LS 3)

ChildFund Indonesia also works to promote societies whose individuals and institutions participate in valuing, protecting, and advancing the worth and rights of children

Due to in absent of Sponsor Relations officer in managing sponsorship operation in Eastern zone partners area, therefore Sponsorship unit need a consultant to ensure the continuing the implementation and execution of sponsor relations activities and the coordination with program staff in zonal office.

II.                SCOPE OF WORK
To ensure the continuing the implementation and execution of sponsor relations operations activities and do the coordination with program staff in Eastern zone working area.

III.             DELIVERABLES
§  Maintain the operationalization of Sponsorship system BRIDGE (SalesForce), LTE (Letter Translation Exchange), and CVS mobile data collection.
§  Day to day management for high quality and timely process flow of Enrolled children profile as per sponsorship standard operation procedure to maintain child’s quota plan.
§  Day to day management for high quality and timely process flow of Enrolled children profile and sponsor/child’s communication to ensure that all child’s communication such as correspondence is satisfactorily processed and responded to within the set standards and ensure fast, efficient and comprehensive action on requests for information
§  Responsible for coordination of sponsor visits to include itinerary preparation, logistics, supervision and development of sponsor visit report
§  Develop monthly analysis of sponsorship information from existing systems and databases and interpret trends and observations for management action. Develop reports from the sponsorship systems, manages sponsor inquiries, and coordinates sponsor visits. 
§  Maintain calendar of key sponsorship activities/events; participate in sponsorship related processes and events to review the quality of sponsorship monitoring and reporting systems and tools; practices and processes; contribute to continuous improvement efforts.
§  Develop and maintain communication template for publication materials to maintain and improve sponsor and children engagement in retaining sponsor.
§  Support sponsorship team in delivering geographic priority transition implementation
§  Maintain monitoring of the implementation of organizational standards, child’s participation, sponsor retention and integration of sponsorship with programs as required
§  Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy.
§  Other duties as assigned.

IV.             PLACE OF PERFORMANCE
The consultancy will be based in Jakarta office with travelling to Eastern partners area in East Nusa Tenggara.

V.                PERIOD OF PERFORMANCE
This will be a short term consultancy of one month implemented closely with and managed by Sponsorship and Partnership Manager.  The consultancy will take approx 5 months with possible extension depending on needs.

VII. CONSULTANT QUALIFICATIONS
§  2+  years progressive  work experience with children and youth in child development administration in an international not-for-profit environment
§  Strong interpersonal communicative skills; ability to work and communicate with employees of all levels 
§  Outstanding written and oral communication skills in English;  fluency in a local language (i.e. French, Spanish or Portuguese) preferred
§  Experience and understanding of community and family care issues
§  Computer proficiency in general office software applications (i.e. Word, Excel, Outlook)
§  Understanding of sponsorship operations and workflows, sponsorship programming, sponsorship policies and standards.
§  Demonstrated analytical and reporting experience

Education and Experience
§  Bachelor’s degree in international development, child development or related field and equivalent relevant work experience.

This position is opened for Indonesian national only.
