GIZ Indonesia for the Forests and Climate Change Program (FORCLIME) Project: Driver & Office Support Papua Barat

 

The Forests and Climate Change Program (FORCLIME) supports the Government of Indonesia in its endeavour to mitigate the effects of climate change through forestry sector reform, capacity development and implementation of best management practices for sustainable forest management and biodiversity conservation. Field-based activities are being supported in selected districts of the provinces of Papua, West Papua and Central Sulawesi to Reduce Emissions from Deforestation and Degradation (“REDD” activities) and develop a forest-based bioeconomy. FORCLIME is funded by the German Federal Ministry for Economic Cooperation and Development (BMZ) and implemented by GIZ (German International Cooperation) with the Indonesian Ministry of Forestry as the Program Executing Agency.

The Programme's overall objective is to reduce greenhouse gas emissions from the forest sector while improving the livelihoods of Indonesia's poor rural communities in Eastern Indonesia. To achieve this goal, the Programme team assists the Indonesian Government and provincial authorities in designing and implementing legal, policy and institutional reforms for the conservation and sustainable management of forests, at local, provincial and national level. Support to mobilize climate finance for forest resource management are a feature of the programme, providing decision-makers with experience of how REDD can be implemented "on the ground".

We seek a qualified Indonesian candidate for: 

Driver & Office Support

  

A.   Responsibilities

  • Assist in general office administration: e.g., delivery of letters/messages, payment of bills, and makes minor purchases of office supplies
  • Support and assist for event preparation in the logistical management and documentation of meetings, workshops, seminars and other project activities inside and outside the office
  • Keep office premises clean and tidy and ensure overall smooth, uninterrupted functioning of the office
  • Daily operational execution of all project affairs
  • Safe and responsible driving of office vehicles and routine maintenance and care of office vehicle
  • Fills out the vehicle logbook correctly and accurately  

B.    Tasks 

Driving and Service Maintenance

  • Drive office vehicles safely and chauffeur office staff, official visitors and guests to official destinations
  • Assists in the transport of goods
  • Runs errands for the project, programme or office, e.g. sending letters and messages, paying bills and buying smaller quantities of office supplies
  • Regularly cleaning the inside and outside of the office vehicle inside
  • Check oil, water, brake and clutch fluids on a daily basis; tire pressures, battery water, and overall vehicle condition on a monthly basis or after 5000 km whichever comes earlier; tests lights, brakes, bodywork for dents, etc.
  • Is responsible for project vehicle documents and its care, keeps vehicle logbook on a daily basis and registers each monthly check
  • Calculate the petrol, oil, and lubricant (POL) use on a monthly basis, is responsible for a special petty cash for POL and submits vouchers to accounting on a monthly basis
  • Reports need for service and carries out minor vehicle repairs
  • Immediately reports all involvement of the project or office vehicle in accidents, including minor accidents, damage, loss or theft of vehicle fittings
  • Report damages of office equipment to project administration, organize and follow up the proper maintenance and repair
  • Uses all available information (including current radio news on traffic conditions) to update daily knowledge of road and traffic conditions, current passable routes and locations, and shares this information with other office drivers
  • Does not use the vehicle for own private purposes at any time. Private use of GIZ project vehicles is considered as serious misconduct and will immediately lead to a warning and may result in dismissal. 

Office Services

  • Cleans the office premises, rooms, furniture, carpet and windows
  • Ensures the availability of supplies in all lavatories
  • Assists in the logistical management of the meeting room(s)
  • Ensures the availability of hot coffee and tea
  • Meets guests and visitors with a friendly demeanour
  • Serves coffee and tea to guests and visitors, during meetings, etc., as per request
  • Reports if stationary, drink stocks, etc. are almost finished
  • Act as contact person by being present in the office during normal working days and working hours especially when other colleagues are in the field 

General Services

  • Photocopies and scans documents as needed
  • Provide tea and coffee for and maintenance good communication with visitor, guests and consultants
  • Supports in labelling inventory. 

 

C.    Required qualifications, competences and experience

  • Supports other colleagues or assist in case of need, and does other office work as assigned
  • Report any incident whilst off duty that may affect his/her driving license entitlement, as well as any newly known health problems that may affect his/her ability to drive
  • Performs other duties and tasks at the request of the superior
  • Undertake further job training & willingness to upskill related to his position and duties, if required
  • Special training programs shall be identified and selected jointly with the Office Manager 

Formal Education

  • High school Diploma 

Other Qualifications

  • Sufficient working knowledge of modem telecommunication systems (fax, email internet, etc.)
  • Sufficient working knowledge of computer programs (MS. Office, Excel) 

Professional Experience

  • Holding a valid driver’s license (B for car and A for motorcycle) is required.
  • At least 3 years’ professional experience as a driver, preferably in Manokwari, with references.
  • No major accidents in the past 3 years.
  • A clean criminal record.
  • Discipline and punctuality, resilience and patience, appropriate appearance and attire.
  • Very good knowledge and familiarity with Manokwari area.
  • Knowledge of English is considered an advantage.
